Serves as the first point of contact for visitors, callers, employees, drivers, vendors, and business partners. Manages reception, visitor access, mail, shipments, office supplies, merchandise inventory, orientation support, event logistics, scheduling, records, and general administrative tasks. Provides customer service, maintains confidentiality, coordinates vendors, supports onboarding activities, and ensures an organized and professional front-office environment.

Supports day-to-day HR operations including employee relations, payroll administration, leave and benefits management, recruiting, onboarding, HRIS maintenance, compliance, reporting, training, and employee development. Processes payroll through Paycom, administers FMLA and ADA accommodations, coordinates benefits and COBRA, maintains personnel records, supports managers and employees, and ensures employment-law compliance. Regular monthly travel to other company locations is required, with occasional overnight travel.

Manages the front end of driver recruiting by handling inquiries, screening basic qualifications, converting prospects into complete applications, following up with applicants, collecting documents, maintaining pipeline records, and scheduling interviews or recruiting appointments. The role supports Driver Recruiters, communicates application status and next steps, maintains confidentiality, and may assist with recruiting events and administrative tasks.

Supports financial reporting for multiple entities by maintaining general ledgers, preparing journal entries, reconciling accounts, processing banking transactions, and assisting with monthly, quarterly, and year-end close. The role researches accounting discrepancies, supports audits and CPA reporting, prepares spreadsheet reports, responds to financial inquiries, and recommends process and reconciliation improvements. It partners with the Controller and may coordinate accounts payable and receivable activities.

Provide administrative support to compliance managers for trucking operations: track expirations, audit road and fuel tax, manage ELD issuance and tracking, handle title work, invoicing, PPE inventory, maintain equipment/driver files, perform audits and follow-ups, use TMW and Motive, and interact professionally with drivers, customers, and carriers.

Maintain general ledger and subledgers for multiple entities, prepare journal entries, reconciliations, and financial reports for month- and year-end close. Review statements, research accounts, assist audits, process daily banking, recommend process improvements and automate reconciliations, and respond to accounting inquiries while meeting reporting deadlines.
