THE ROLEZeta is seeking a hands-on, self-directed Workplace Experience Coordinator for a 6-month contract in our San Francisco office. This is an on-site role, four days a week (Monday–Thursday, 9:00 AM–5:00 PM PST), focused on keeping the office running smoothly and delivering a great day-to-day experience for employees and visitors. You'll step into established programs, vendor relationships, and event cadences, so the ideal candidate ramps quickly, works independently, and thrives on keeping many moving parts in sync. You'll be the on-site face of the workplace in SF, the person employees turn to and the first impression every visitor gets.
THE TEAMThis role sits within Zeta's People & Culture team and reports to the Senior Director of Global Workplace Strategy & Experience, partnering closely with IT, facilities partners, and local office leadership. As the dedicated on-site workplace presence in San Francisco, you'll own the daily rhythm of the office and keep operations, culture moments, and reception running seamlessly.
RESPONSIBILITIESOffice & Facilities Operations
- Oversee day-to-day operations of the SF office, ensuring a clean, safe, and productive workspace.
- Manage facility ticket requests promptly, coordinating maintenance and vendor support.
- Supervise office access, including provisioning badges for employees and contractors.
- Track and order office supplies; keep the office, kitchen, and bathrooms fully stocked.
- Maintain the in-office food and beverage experience and support catering orders within budget and dietary needs.
- Review and reconcile transactions on the office facilities card.
Employee Experience & Communications
- Execute the existing cadence of monthly office events and celebrations.
- Own SF office communications: event flyers, calendar invites, weekly updates, and office TV displays (birthdays, anniversaries, new hires, events).
- Run SF new hire onboarding logistics, including workstation setup and day-one experience.
- Monitor employee feedback channels and escalate issues as needed.
Reception & Administrative Support
- Serve as a professional, welcoming presence at reception for employees, clients, and visitors.
- Manage incoming mail and general front-desk inquiries.
Cross-Functional Support
- Partner with IT and People & Culture on in-flight workplace initiatives and company-wide events.
- Support office health, safety, and compliance standards.
- 3+ years in workplace experience, office management, or facilities coordination.
- Proven ability to ramp quickly and operate independently with minimal supervision — comfortable stepping into existing programs and vendors.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication.
- Proactive problem-solver with attention to detail and discretion.
- Proficiency with Google Workspace, Slack, Microsoft Office, and office management tools.
- Warm, service-oriented demeanor and a customer-first mindset.
- Available for the full 6-month term, on-site Monday–Thursday.
PAY RANGE
The pay range for this role is $34.00 - $36.00/hour, depending on experience.
