What this job involves:
As a Workplace Coordinator, you'll be the face of exceptional service delivery for one of our most valued clients, creating an environment where people can do their best work every day. In this role, you'll coordinate and oversee soft services operations—from janitorial cleaning and waste management to hospitality services, and workplace amenities—ensuring every touchpoint reflects the highest standards of professionalism and care. You'll act as the primary liaison between our client, service providers, and building occupants, conducting daily inspections, managing vendor performance, and solving problems before they arise. What your day-to-day will look like:
- Coordinate daily delivery of soft facilities services including janitorial cleaning, waste removal, recycling programs, restroom supplies, pest control to maintain a pristine workplace environment
- Conduct daily walk-throughs and quality inspections across office spaces, common areas, restrooms, pantries, meeting rooms, and cafeteria using established checklists and documentation standards
- Serve as day-to-day liaison with soft services contractors and vendors, monitoring performance, ensuring adherence to scope of work, and escalating issues as needed
- Manage workplace amenities including coffee stations, water dispensers, pantry supplies, break room provisions, and vending services to ensure all areas are well-stocked and organized
- Respond to occupant service requests through CMMS or workplace apps, prioritizing and dispatching cleaning, restocking, and amenity-related work orders while tracking completion and satisfaction
- Oversee waste management and recycling programs, monitor collection schedules, track waste diversion metrics, and support sustainability initiatives aligned with client environmental goals
- Schedule and coordinate pest control services, special cleaning projects, and seasonal activities including deep cleans
- Maintain inventory of cleaning supplies, restroom consumables, and amenity provisions, monitoring usage patterns and processing purchase orders to ensure adequate stock levels
- Generate inspection reports highlighting deficiencies, corrective actions, and service performance trends to support data-driven decision making and continuous improvement
Required qualifications:
- 3–5 years of experience in facilities coordination, soft services management, building operations, or commercial office environments
- Understanding of commercial cleaning operations, quality standards, and cleaning chemicals, equipment, and safety protocols
- Strong organizational skills with proven ability to manage multiple tasks, priorities, and vendor relationships simultaneously
- Excellent attention to detail and quality consciousness with commitment to maintaining exceptional workplace environment standards
- Effective communication skills, both written and verbal, with customer service orientation and professional demeanor
- Proficiency in CMMS or work order management systems and Microsoft Office Suite (Outlook, Word, Excel)
- Hands-on approach with willingness to conduct inspections, walk buildings extensively, and address issues directly throughout the day
Preferred qualifications:
- Associate's degree in Facilities Management, Business Administration, or related field
- Knowledge of green cleaning programs, LEED building operations, or environmental certifications
- Experience with workplace experience platforms, employee apps, or integrated workplace management systems (IWMS)
- Familiarity with waste management regulations, recycling best practices, and sustainability reporting metrics
- Bilingual capabilities or training in health, safety, and environmental management
