We are seeking an Administrative Assistant who provides general office support, assisting teams with clerical and operational tasks. This role is focused on maintaining efficient office operations, organizing documents, and supporting daily administrative functions

Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant to provide comprehensive administrative, operational, and personal support to a busy, high-energy executive. This role is critical in ensuring the executive’s goals and priorities are achieved efficiently in both personal and professional capacities.

Ideal Candidate:

The ideal candidate is an experienced administrative professional with exceptional communication and organizational skills, a proven track record of acting as a trusted strategic partner, and the ability to anticipate needs and handle complex responsibilities with autonomy in a virtual environment.

Key Responsibilities:

• Answer calls, manage emails, and handle routine correspondence.

• Maintain office supplies, records, and filing systems.

• Assist with scheduling meetings, organizing calendars, and making travel arrangements.

• Support various departments with data entry, document preparation, and reports.

• Help coordinate office events, training sessions, and general administrative duties.

• Perform routine administrative support as directed by managers

Calendar and Schedule Management:

  • Organize and manage the executive’s daily calendar, appointments, and meeting schedules

  • Ensure seamless coordination of personal and professional activities.

Administrative Support:

  • Handle professional correspondence, draft communications, and prepare documents, presentations, and reports.

  • Maintain and organize electronic files and records.

Travel and Event Coordination:

  • Plan and arrange travel, including flights, accommodations, and itineraries.

  • Coordinate logistics for events, meetings, and other engagements.

Relationship and Communication Management:

  • Act as a liaison between the executive and clients, employees, or stakeholders.

  • Maintain and update contact lists, ensuring strong professional and personal networks.

Skills and Qualifications:

• Must have at least two to three years’ experience as an administrative assistant.

• Excellent written and verbal communication skills, with a keen ability to manage multiple tasks and deadlines efficiently.

• Excellent time management

• Experience supporting executives in a virtual capacity.

• Familiarity with task management tools and apps for remote collaboration.

• Proven ability to handle sensitive information with the utmost confidentiality.

• Strong knowledge of productivity tools (e.g., Microsoft 365, Google Workspace, Asana, Slack, Zoom).

• Ability to work effectively with international clients and teams, respecting cultural differences and practices.
