Position Overview:
We are seeking a highly organized and proactive Executive Administrative Assistant to support top executives. This role involves managing schedules, coordinating tasks, handling confidential information, and ensuring key priorities are met efficiently. The ideal candidate is detail-oriented, professional, and capable of balancing multiple responsibilities in both personal and professional capacities.

Key Responsibilities:
• Manage executive calendars, schedule meetings, and coordinate travel arrangements.
• Handle confidential documents, emails, and communications with discretion.
• Assist with high-priority projects, research, and report preparation.
• Act as a liaison between executives, internal teams, and external stakeholders.
• Oversee special initiatives and strategic planning support.
• Prepare presentations, board materials, and executive correspondence.
• Manage personal tasks and coordinate logistics for the executive as needed.
Travel and Event Coordination:
Plan and arrange travel, including flights, accommodation, and itineraries
Coordinate logistics for events, meetings, and other engagements.
Personal Support:
Manage bill payments, subscriptions, and other household or personal administrative tasks
Provide reminders and assistance with personal commitments as needed.
Virtual Assistance:
Work effectively in a remote environment while managing competing priorities
Use technology to streamline processes and maintain clear communication.
Project Management Support:
Track and monitor project timelines and deliverables to ensure deadlines are met.
Coordinate with team members and stakeholders on project updates and priorities.
Data and Research Support:
Conduct research and compile data for decision-making or presentations.
Stay updated on industry trends and provide regular briefings.
Expense Management and Budgeting:
Monitor and reconcile personal and business expenses.
Prepare monthly expense reports and assist with budget planning.
Vendor and Service Management:
Liaise with vendors, service providers, and contractors for personal and professional needs.
Negotiate contracts and handle follow-ups on outstanding issues.
Crisis and Contingency Management:
Provide rapid assistance in handling emergencies, such as last-minute travel changes or unexpected cancellations.
Maintain alternative plans for critical activities or appointments.
Wellness and Work-Life Balance Support:
Assist in scheduling wellness activities, including exercise sessions, personal time, and downtime.
Send reminders for breaks, meals, or self-care activities during busy workdays.
Relationship and Communication Management:
Act as a liaison between the executive and clients, employees, or stakeholders.
Maintain and update contact lists, ensuring strong professional and personal networks.

Skills and Qualifications:
• A Bachelors, Associates degree in Business Administration, Management, Office Administration, or related fields and or 3-5 years of experience supporting senior executives.
• Strong written and verbal communication skills, with excellent multitasking and time management abilities.
• Experience in virtual executive support and using remote collaboration tools (e.g., Microsoft 365, Google Workspace, Asana, Slack, Zoom).
• Ability to handle confidential information with discretion.
• Strong troubleshooting skills for minor technical issues.
• Proactive in anticipating needs and providing timely solutions.
• Flexibility to adjust working hours for urgent tasks or to accommodate time zone differences.
• Skilled in managing competing priorities in a fast-paced environment.
• Experience working with international teams, respecting cultural differences
Skills Required
- 3-5 years supporting senior executives or equivalent experience
- Bachelor's or Associate degree in Business Administration, Management, Office Administration, or related field
