Position Summary:

The Traveling Operations Specialist provides critical support to community leadership teams to ensure smooth and efficient operations across all service areas, including staffing, resident services, dining, housekeeping, and maintenance. This role functions as a key resource in maintaining operational excellence, offering interim leadership coverage, assisting in recruiting and onboarding, and driving performance improvements across assigned communities. This position requires travel up to 90% of the time.

Qualifications:

  • Bachelor’s degree in healthcare administration, Business, or related field (or equivalent experience) preferred
  • Minimum of 5 years of leadership experience in senior living, healthcare, or hospitality management.
  • Strong understanding of regulatory standards in assisted living and memory care.
  • Exceptional communication, organizational, and problem-solving skills.
  • Willingness and ability to travel up to 90% of the time; flexibility to work in diverse settings and manage shifting priorities.
  • Proven experience in performance management, budgeting, and team development.

Key Responsibilities:

Operational Support & Leadership Coverage

  • Provide hands-on support to community leadership to ensure consistent, high-quality operations in all departments.
  • Serve as interim coverage for key leadership roles such as Executive Director and Wellness Director during vacancies or extended absences.
  • Collaborate with community leaders to implement systems and workflows that enhance operational efficiency and resident satisfaction.

Recruitment & Onboarding

  • Assist with recruiting efforts by sourcing candidates via platforms like Indeed, screening applicants, conducting interviews, and managing onboarding paperwork.
  • Help ensure seamless onboarding of new hires and provide initial training to promote retention and performance.

Regulatory Compliance & Quality Assurance

  • Monitor communities to ensure compliance with all applicable local, state, and federal regulations, including licensure and safety standards.
  • Conduct documentation audits and offer guidance to ensure best practices in care and service delivery.
  • Complete Quarterly Excellence Reviews to identify operational strengths and areas for improvement.

Performance Improvement & Strategic Projects

  • Partner with community leadership to develop and implement action plans based on review findings.
  • Support the Regional Director of Operations with budget preparation, cost control, and financial performance analysis.
  • Identify opportunities to improve financial outcomes without compromising quality of care or services.
  • Analyze KPIs and operational metrics to identify trends and inform performance improvement strategies.

Training & Leadership Development

  • Provide ongoing coaching and mentorship to Executive Directors, Wellness Directors, and other department leaders.
  • Support leadership transitions by assisting with the onboarding and training of new leaders to maintain consistent practices and standards.

Resident & Family Engagement

  • Assist communities in maintaining high levels of resident and family satisfaction by promoting best practices in customer service and issue resolution.
  • Special Projects
  • Lead or contribute to special initiatives, including new community openings, transitions, software implementations, and operational audits

General Working Conditions

This position entails standing for long periods of time. While performing the duties of this job, the employee is required to communicate effectively with others, sit, stand, walk and use hands to handle keyboard, telephone, paper, files, and other equipment and objects. The employee is occasionally required to reach with hands and arms. This position requires the ability to review detailed documents and read computer screens. The employee will occasionally lift and/or move up to 25 pounds. The work environment requires appropriate interaction with others. The noise level in the work environment is moderate. Occasional travel to different locations may be required.
