Pinewood.AI is seeking experienced automotive professionals who are fluent in both Japanese and English to join our Training and Implementation Team.

You may come from a dealership sales, sales administration, accounting, vehicle administration, or vehicle operations background and be looking to move into technology, or you may already have experience delivering training and implementation for automotive retail software. Either way, this role gives you the opportunity to use your dealership knowledge to help retailers across Japan get the best from Pinewood.AI.

Working closely with colleagues in Japan and internationally, you’ll act as the link between dealership customers and Pinewood.AI, helping ensure successful project delivery and long-term customer success.

Your primary focus will be to configure the system to match dealership processes and then train and coach dealership teams on the Sales and Accounting elements of our platform. This will include new and used vehicle sales processes, enquiry management, quotations, orders, customer follow-up, sales administration, finance processes, month-end activity, reporting, reconciliations, vehicle stock creation, costing, invoicing, registration, and related operational workflows.

We’re looking for someone with strong dealership sales and/or accounting knowledge, excellent communication skills, and the ability to deliver implementation and training that helps dealerships improve efficiency, accuracy, and realise the full value of the platform.

Key Responsibilities
  • Collaborate with dealership stakeholders to understand requirements and ensure best practice configuration.
  • Configure and implement the Pinewood.AI platform in new and existing dealerships, tailoring settings and parameters to match local dealership business processes.
  • Manage implementation activities from planning through to Go Live, ensuring smooth transitions from legacy systems.
  • Deliver clear and engaging training sessions for sales teams, finance teams, sales administrators, business managers, dealership accountants, vehicle administrators, and other dealership users, ensuring confidence in using the platform.
  • Train users on Sales and Accounting processes and best practices, helping dealership teams use the platform efficiently and consistently.
  • Support dealership users with processes including lead capture, enquiry qualification, CRM, opportunity and pipeline management, quotations, orders, customer follow-up, VAT, Japanese tax regulations, reconciliations, accruals, journals, balance sheets, management reporting, vehicle creation, stock management, costing, invoicing, registration, and etc.
  • Provide onsite and remote consultancy to support adoption, optimisation, and continuous improvement.
  • Build trusted relationships with customers, helping retailers increase efficiency and maximise operational performance through our Automotive Intelligence Platform.
  • Provide regular implementation updates to the Project Manager, identifying risks and potential issues early.
  • Meet agreed individual and team targets, KPIs, and implementation milestones.
  • Proactively identify opportunities to improve implementation approaches and enhance the customer experience.
  • Develop deep knowledge of platform functionality across Sales, Accounting, Sales Administration, Vehicles, and related integrations.
  • Stay up to date with industry developments, Japanese automotive retail trends, and Pinewood.AI product enhancements.
  • Represent Pinewood.AI professionally at all times, acting as an ambassador for the brand in the Japanese market.
Requirements
  • Strong written and verbal communication skills in both Japanese and English, with the ability to communicate effectively with dealership teams, project stakeholders, and global colleagues.
  • Proven experience in dealership sales, sales administration, accounting, vehicle administration, or vehicle operations.
  • A good all-around knowledge of the motor industry and the day-to-day operations within a motor retailer.
  • Strong understanding of dealership sales and/or accounting processes within the Japanese automotive retail market.
  • A detailed understanding of motor retailer accounting processes, including Japanese tax regulations.
  • An excellent knowledge of car dealer job roles relating to retail sales, business and accounting processes, including Japanese tax regulations.
  • Strong understanding of dealership operations and how sales, accounting, sales administration, and vehicle processes contribute to the wider business.
  • Knowledge of core sales and accounting activities, such as lead capture, enquiry management, quotations, orders, customer follow-up, VAT, Japanese tax regulations, reconciliations, journals, reporting, vehicle stock creation, costing, invoicing, registration, and bonus posting.
  • Hands-on experience with a Dealer Management System, ideally Pinewood.AI or a similar automotive management platform.
  • Experience delivering engaging training sessions and supporting successful system adoption would be highly desirable.
  • Excellent organisational and project management skills, with the ability to manage multiple implementation projects simultaneously.
  • Analytical and methodical problem solver with strong attention to detail and process accuracy.
  • Able to work independently while collaborating effectively with customers and colleagues.
  • Willingness to travel to customer sites across Japan as required, including overnight stays where needed.
  • Relevant automotive industry experience or equivalent professional qualifications.
  • Valid driving licence for use in Japan.
Desirable Experience
  • Experience as a Sales Executive, Sales Administrator, Business Manager, Sales Manager, Dealership Accountant, Assistant Accountant, Accounts Clerk, Vehicle Administrator, Vehicle Stock Controller, or similar dealership role.
  • Direct experience with Pinewood DMS or another automotive management or accounting platform.
  • Understanding of how sales, accounting, and vehicle operations interact within dealership processes.
  • Knowledge of process improvement, change management, or system implementation projects.
  • Previous experience supporting system rollout, configuration, or optimisation projects within an automotive retail environment.
  • Experience working with automotive retailers, dealer groups, importers, distributors, or OEMs within the Japanese market.
  • Good knowledge and experience with Microsoft Office products.
