Pinewood.AI is looking for an experienced automotive professional to join our Training & Implementation team in Japan.
Whether your background is in dealership sales, sales administration, accounting, vehicle administration, or dealership operations, or you already have experience implementing automotive software, this is an opportunity to combine your industry expertise with technology and help leading automotive retailers successfully adopt the Pinewood.AI platform.
Working closely with customers and colleagues in Japan and internationally, you will configure our Dealer Management System (DMS), deliver user training, and support dealerships through implementation to ensure long-term success.
Key Responsibilities- Configure the Pinewood.AI platform to meet dealership operational requirements and best practices.
- Deliver implementation projects from planning through Go-Live.
- Provide engaging training for dealership users across Sales, Accounting, Sales Administration, and Vehicle Operations.
- Support customers with key dealership processes including CRM, enquiries, quotations, orders, customer follow-up, accounting, reporting, vehicle stock management, costing, invoicing, registration, and related workflows.
- Provide onsite and remote consultancy to maximise system adoption and operational efficiency.
- Build strong relationships with dealership customers and project stakeholders.
- Work closely with Project Managers to ensure successful project delivery and communicate project progress and risks.
- Maintain expert knowledge of Pinewood.AI products and developments within the Japanese automotive retail market.
RequirementsAbout You
You will have:
- Business-level Japanese and English communication skills.
- Experience working within an automotive dealership in Sales, Sales Administration, Accounting, Vehicle Administration, or Operations.
- Strong understanding of Japanese dealership sales and/or accounting processes.
- Hands-on experience with a Dealer Management System (DMS), ideally Pinewood.AI or a comparable platform.
- Excellent presentation, communication, and training skills.
- Strong organisational and problem-solving abilities with attention to detail.
- The ability to manage multiple projects while working independently and collaboratively.
- A valid Japanese driving licence (or eligibility to drive in Japan).
- Willingness to travel to customer sites across Japan, including overnight stays when required.
Experience in one or more of the following would be advantageous:
- Sales Executive, Sales Administrator, Business Manager, Sales Manager, Dealership Accountant, Assistant Accountant, Accounts Clerk, Vehicle Administrator, or Vehicle Stock Controller.
- DMS implementation, configuration, training, or change management projects.
- Working with dealer groups, OEMs, importers, or automotive software providers.
- Microsoft Office applications.

Skills Required
- Fluent written and verbal communication in Japanese and English
- Proven experience in dealership sales, sales administration, accounting, vehicle administration, or vehicle operations
- Strong understanding of Japanese dealership sales and accounting processes including Japanese tax regulations and VAT
- Detailed knowledge of motor retailer accounting processes, reconciliations, journals, reporting, and month-end activity
- Hands-on experience with a Dealer Management System
- Experience delivering training sessions and supporting system adoption
- Excellent organisational and project management skills with ability to manage multiple implementations
- Analytical, methodical problem solver with strong attention to detail
- Willingness to travel to customer sites across Japan, including overnight stays
- Valid driving licence for use in Japan
- Relevant automotive industry experience or equivalent professional qualifications
- Good knowledge and experience with Microsoft Office products
- Experience with Pinewood DMS or another automotive management/accounting platform
