Role Summary:
The role of the Operations Assistant Manager is to support the efficient planning, co-ordination, and execution of port agency operations, ensuring vessels receive timely, compliant, and cost-effective services while maintaining high standards of customer service and operational excellence

Location: Dar es Salaam, Tanzania (On-Site)

Key Duties and Responsibilities:
Vessel Operations & Coordination:
- Assist in planning, coordinating, and executing vessel port calls (arrival, berthing, cargo operations, departure).
- Perform vessel operations in accordance with ISS policies and procedures.
- Liaise with port authorities, terminals, immigration, customs, and service providers.
- Monitor vessel turnaround times and ensure operational efficiency.
- Attend port meetings and gather vessel movement updates for reporting.
Documentation & Regulatory Compliance:
- Process inward and outward vessel clearances in compliance with government regulations.
- Ensure all documentation (manifests, crew lists, customs forms, etc.) meets legal and procedural requirements.
- Keep management informed of updates in port regulations, tariffs, and procedural changes.
- Ensure full compliance with maritime, port, and immigration laws.
Crew & Welfare Coordination:
- Coordinate crew changes, medical cases, and shore passes in
- collaboration with the main office.
- Ensure timely and efficient handling of crew-related activities to avoid operational delays.
- Maintain communication with vessel masters and principals regarding crew matters.
Client & Stakeholder Management:
- Maintain strong communication with principals, ship masters, and stakeholders.
- Provide timely updates on vessel status, operational issues, and delays.
- Ensure delivery of service that meets or exceeds principal expectations.
Financial & Cost Control:
- Assist in preparing and verifying PDAs and FDAs.
- Monitor operational expenses and ensure cost-effective service delivery.
- Support accurate invoicing and financial reconciliation processes.
Reporting & Performance Monitoring:
- Prepare and circulate daily operational/prospect reports for assigned vessels to all stakeholders.
- Maintain accurate operational records and support KPI tracking.
- Contribute to vessel movement reporting and operational analysis.
Team Supervision & Coordination:
- Supervise and coordinate activities of boarding officers and operations staff.
- Ensure effective use of systems such as POPDA, PASP, and other operational platforms.
- Support staff scheduling, performance monitoring, and coaching.
Who You Are:
- Minimum of 5 years experience in port agency.
- Diploma or bachelor’s degree in Logistics, Shipping, Business Administration, Sale and Marketing or related field desirable.
- Good understanding of port operations and port agency services.
- Proficiency in MS Office and shipping/ERP systems.
- Good oral and written communication skills in English.
- Highly organized with good time-management skills
- Good problem solving & analytical skills
- Ability to work under pressure and meet strict deadlines.
