Role DescriptionWe're hiring a Talent Acquisition Coordinator to keep our hiring engine fast, organized, and constantly improving. You'll own interview logistics day to day, and you'll also own the systems underneath them: the ATS, the data, the workflows that decide whether recruiting scales or breaks as we grow.
We automate manual workflows for a living, and we expect the same instinct applied to how we hire. This is a role for someone who wants more than scheduling: the best version of this hire treats every recurring problem as a process to fix, not a task to repeat. You'll see how a recruiting function gets built from the inside, and the ops surface you own will grow as fast as you.
Run interview logistics end-to-end: schedule and manage complex, high-volume loops across teams, time zones, and formats (phone, video, onsite)
Own candidate communication throughout the scheduling process, with the clarity and warmth that make logistics feel effortless on their end
Stay ahead of conflicts and last-minute changes, solving scheduling problems before they reach candidates
Build strong relationships with hiring managers and interviewers, keeping everyone aligned on schedules, materials, and next steps
Own our ATS (Ashby) day to day: clean data, accurate pipeline stages, scorecard completion, and the automations and integrations that keep it all running
Track recruiting metrics like time-in-stage, pass-through rates, and scheduling SLAs; audit where candidates stall and implement fixes
Build templates, playbooks, and documentation that make every hire more repeatable than the last
Automate the coordination work itself: self-scheduling, availability workflows, reminders, and AI tools that shrink the manual load as hiring volume grows
Experience in recruiting coordination, recruiting/people operations, or an operationally demanding role
Exceptional organization and attention to detail; nothing slips
Clear, professional written and verbal communication
Comfort with an ATS beyond basic use: you like configuring and improving systems, not just working in them (Ashby a plus)
A data instinct: you notice patterns, pull the numbers, and bring evidence to conversations
