Position Summary:

Responsibilities:
- High-Touch Logistics & Multi-Time Zone Scheduling
- Own complex, multi-stage interview loops across multiple departments, proactively resolve conflicts, and manage last-minute adjustments
- Coordinate executive-level (VP/C-Suite) interview panels requiring high discretion and rapid scheduling and schedule changes
- Manage candidate travel logistics, accommodations, and expense reimbursement workflows in compliance with company policy
- Strategic ATS Management & Data Integrity
- Use the Applicant Tracking System (ATS) to build a single source of truth, ensure flawless data hygiene, applicant stage transitions, and pipeline tracking
- Audit ATS data regularly to ensure external and internal representations are accurate
- Build/utilize pipeline progress reports to highlight bottlenecks to recruiters
- Candidate Experience & Brand Advocacy
- Maintains professional, timely communication between candidates, hiring managers, and recruiting team to ensure alignment at all stages, providing status updates and next steps
- Develop and maintain candidate preparation materials
- Recruiting Operations
- Facilitate headcount approval requests
- Draft and stage offer letters, manage offer acceptance/decline workflow and communicate outcomes to all stakeholders
- Initiate and manage completion of new hire background checks and relocation requests
- Identifies process inefficiencies and collaborates on solutions with recruiting leadership
- Support and maintain recruiting process documentation and best practices guides
- Supports miscellaneous recruiting team projects
Required Skills and Experience:
- Associate's Degree required - Bachelor Degree preferred, or equivalent combination of education, training, and experience
- 2+ years experience as a recruiting coordinator in a Corporate environment
- Proven experience utilizing a modern ATS (e.g., Greenhouse, Lever, Workday)
- Ability to navigate systems efficiently, input data accurately, generate reports, and troubleshoot basic issues
- Exceptional problem solving, ability to map out highly complex, multi-panel interview schedules simultaneously without missing a detail, ability to spot scheduling conflicts or pipeline blocks before they impact the candidate, ability to anticipate issues, follow up without prompting, and take initiative in resolving problems, must be responsive and solution-oriented
- Strong organizational skills with ability to manage multiple concurrent tasks and priorities
- Excellent written and verbal communication skills and ability to communicate clearly with multiple stakeholders
- Attention to detail and commitment to maintain accurate records, catch errors, ensure compliance with processes, and clear documentation
- Ability to maintain confidentiality and handle sensitive information professionally
- Ability to work independently and as part of a collaborative team
- Proficiency in Microsoft Suite: experience / skilled in Outlook (complex calendar management), Teams (virtual meeting setups), Excel (data tracking tables), and Word (document generation, templates)
