Our Ritchie Bros TA team is looking for a Talent Acquisition Administrator to join our International headquarters in Breda, the Netherlands.
The Talent Acquisition Administrator plays a critical role in supporting the end‑to‑end recruitment process by delivering a seamless, efficient, and positive experience for candidates, hiring managers, and internal stakeholders. This role provides comprehensive operational and administrative support across all stages of the recruitment lifecycle, including requisition management, offer coordination, system administration, and process tracking. The TA Administrator partners closely with Talent Acquisition Specialist, Hiring Managers, People Business Partners, and cross‑functional teams to drive consistency and efficiency, maintain data integrity within the applicant tracking system, and ensure compliance with company policies and applicable employment regulations.
Success in this role requires strong organizational skills, attention to detail, sound judgment when handling confidential information, and the ability to manage competing priorities in a fast‑paced, collaborative environment.
What you'll do:
Apply critical judgment to ensure accuracy and compliance of job requisitions, validating submissions against company policies, organizational standards, and workforce planning guidelines while identifying inconsistencies or risks early in the process.
- Analyze and audit requisition details to confirm completeness, accuracy, and alignment with approved roles, budgets, and organizational requirements prior to posting, proactively resolving gaps before escalation is required.
- Manage and monitor requisition approval workflows, anticipating bottlenecks, ensuring timely completion of required authorizations, and assigning approved requisitions to the appropriate Talent Acquisition Specialist based on workload and business needs.
- Act as a key liaison between Hiring Managers and the Talent Acquisition team to coordinate job offers and contractor‑to‑employee conversions, applying sound judgment to ensure processes are followed consistently and compliantly.
- Generate, interpret, and document ad‑hoc and recurring recruitment reports, including requisition status, approval timelines, and workflow trends, using insights to support continuous process improvement.
- Maintain data integrity across Oracle HCM and other HR systems, conducting regular audits, identifying root causes of data discrepancies, and implementing corrective actions to prevent recurrence.
- Identify and communicate any discrepancies or delays in the requisition process to relevant stakeholders.
- Collaborate with the People Team and internal business stakeholders to streamline recruitment processes and enhance efficiency.
- Continuously evaluate and optimize talent acquisition workflow to align with organizational needs.
What you bring:
- 1+ years’ experience working in a Coordinator capacity, specifically supporting Talent Acquisition/Recruiters.
- Preferable bachelor degree or MBO 4 level
- Strong organizational skills and attention to detail with the ability to manage multiple tasks simultaneously.
- Demonstrated ability to work effectively within remote teams; share responsibility for results and accepting feedback. Familiarity with HRIS platforms (e.g. Oracle).
- Proficient in Microsoft Office.
- Self-directed, forward thinker that can bring new ideas to the forefront based on looking at trends and external best practices.
- Highly energetic, excellent communicator and talent ambassador.
- Proactive problem-solving skills with focus on process improvement.
