About the role

MedSupply AZ is a medical kit manufacturer/assembler and wholesale distributor of pharmaceuticals, consumables, and medical equipment. We serve the aviation and maritime industries and medical facilities in remote locations worldwide. MedSupply International is a subsidiary and a capability of International SOS.

The role of the Sr Operations Manager is to oversee daily operations to ensure efficiency and meet performance targets. Responsibilities include managing staff, optimizing processes, coordinating logistics, and implementing strategies to enhance productivity and customer satisfaction. Strong leadership, problem-solving, and organizational skills are essential for success in this role.

Key responsibilities

Drive tactical operations through effective shift planning and execution across production and warehouse functions. Identify and implement tactical and strategic improvements to automate & transform manual workflow and reporting for operations.

Digitalization and Process Improvement:

This role will focus on cost reduction by streamlining processes and workflows, driving the digitalization of operations, and eliminating paper-based systems.

Process Improvement

  • Implement Gemba processes to identify barriers to enhance operational efficiency.
  • Implement strategies to reduce operational costs through shift planning and process optimization.
  • Develop & implement operational improvements by ensuring non-value-added activity is reduced in all processes by using lean / kaizen / Gemba tools and techniques.
  • Responsible for the Service Level to ensure client satisfaction and On Time in Full Performance (OTIF) as per Service Level agreement targets.

Digitalization and Paperless Operations

  • Lead the transition towards a more digital operation, reducing reliance on paper-based systems.
  • Implement digital solutions to streamline and modernize various operational aspects.
  • Provide leadership and operations ownership for WMS / ERP integration and improvements.

People Management and Leadership:

In addition to operational excellence, effective people management is critical for success in this role. The Senior Operations Manager must build and lead effective and high-performing teams, fostering a strong culture based on performance and team spirit, and providing development opportunities for all employees through a servant leadership approach.

Key responsibilities

Team Building, Culture, and Performance

  • Foster a culture of teamwork, collaboration, and mutual support among employees.
  • Build and lead high-performing teams that are aligned with International SOS' core values.
  • Promote a strong organizational culture centered around performance and excellence.
  • Set clear performance expectations and standards for the team, ensuring they align with the company's vision and values.
  • Develop a high-performance workforce by promoting and upholding company performance standards and ideology (on-time delivery, quality, lean manufacturing, continuous improvement, & work ethic).
  • Ensure compliance with safety and quality standards, implementing best practices to enhance overall efficiency.
  • Oversee resource allocation, and cost-control measures to achieve production targets.
  • Work with VP/GM MedSupply Americas to budget appropriately based on department needs
  • Work with MedSupply Americas Quality Manager to implement and monitor the quality initiatives of the Operations Department within the MedSupply Arizona operation to ensure conformance with audit requirements.

Resource Allocation and Communication

  • Efficiently allocate and utilize resources to support warehousing operations, service, and delivery.
  • Increase the effectiveness and efficiency of the Operations function through coordination and communication between the different teams.
  • Maintain open and effective communication with division management regarding projects and changes that impact operations.

Management of staff

  • Embrace a servant leadership approach, focusing on the growth and development of team members.
  • Provide mentorship, guidance, and support to facilitate the professional development of employees.
  • Ensure excellent performance within the production, logistics, and warehouse teams and address any non-performance.
  • Oversee the daily activities of the assigned teams with a continuous performance improvement focus.
  • Implementing new ways of conducting business more effectively through streamlining and digitalization.
  • Responsible for recruitment, performance management, and identification of training needs and help to facilitate ongoing training activities for the assigned team members.

Key responsibilities

Function Specific Responsibilities

Production

  • Work with the Assistant Production Manager to direct capacity planning, planning & scheduling of workload and production control.
  • Coordinate and monitor the work of various departments involved in production, warehousing, and distribution of goods. Monitor performance and implement improvements.
  • Manage quality and quantity of employee productivity.
  • Handle maintenance of equipment and machinery. Provide technical support where necessary.
  • Provide support for new kit development and ensure all requests for new kits or changes to existing BOM and/or sub-assemblies are completed in a timely manner.

Warehouse Management

  • Organize, plan, and coordinate all warehouse activities.
  • Ensure that all internal warehouse departments are well organized and adequately resourced to sufficiently support the goals of the business.
  • Digitalize warehouse activities and ensure staff are adequately trained in using these tools.
  • Streamline all processes and ensure efficiencies in activities.
  • Ensure all warehouse staff are aware of and comply with KPIs, quality targets, and compliance audits.

Shipping and Dispatch Management

  • Oversee the shipping and dispatch of all orders.
  • Ensure the preparation of shipping documentation including the dispatch of dangerous goods by road, sea, or air transport is accurate.
  • Liaise with shippers where necessary to conduct performance and price reviews.
  • Ensure, through training and staff allocation, that the packaging of all dangerous goods to be shipped by road, sea, or air is in accordance with all regulations.
  • Identify and action digitalization opportunities to drive quality and efficiency.

Required Skills and Knowledge

  • Excellent shift operation management skills
  • Demonstrated experience within LEAN methodologies such as Lean Six Sigma, Kaizen, or PDCA
  • Assembly, build-to-order manufacturing, GMP, fulfillment, logistics, and production process knowledge is essential.
  • Excellent understanding of WMS and ERP systems and excellent computer skills and proficiency in Excel, Word, and Outlook.
  • A proven track record of streamlining operations and achieving efficiencies.
  • Closed-door Pharmacy operations experience a plus
  • Excellent communication skills both verbal and written.
  • Ability to work in a matrix, multicultural, and global organization.
  • Excellent interpersonal skills and a collaborative management style
  • Excellent people manager, open to direction and collaborative work style, and commitment to get the job done.
  • Have a working understanding of quality management systems. Proven successful supervisory experience; preferably in a manufacturing environment.
  • Dynamic, positive, and enthusiastic with the ability to think laterally and act through reasoned decision-making.
  • Possess the ability to implement and manage change in the business.
  • Ability to lift minimum 15lbs

Required Work Experience

  • 5 years experience in an Operations / Fulfillment Leadership Management role
  • Demonstrated experience in driving efficiencies and change management within a warehouse/distribution/fulfillment center environment.
  • Experience working in WMS / ERP System environments.
  • High-volume fulfillment Pharmacy Shift operations
  • Strong understanding of shift execution management, and labor management to achieve daily production goals.
  • Experience balancing Inbound, Production, and Outbound fulfillment operations to achieve shift plans and goals.
  • Strong ability to lead changes.
  • Demonstrated leadership and vision in managing staff groups and major projects or initiatives.
  • High comfort level working in a diverse environment.
  • A demonstrated commitment to high professional ethical standards and a diverse workplace.
  • Excels at operating in a fast-paced, community environment.

Required Qualifications

  • Bachelor's Degree or equivalent experience
  • PMP Certification or equivalent is preferred

  • Infrequent global or domestic travel may be required.
