The Role

Position Summary:

Document Operations Specialist works in the Document Operations Center, reporting to the Operations Manager. The position will be tasked with generating and processing documents systematically and mechanically by mastering document management software tools and document processing machinery. This position requires a person to demonstrate good physical dexterity with their hands, keen eye for details, able to work with deadlines. Position requires ability and willingness to follow procedures and contribute to process improvement.

Primary Accountabilities:

Operational (80%)

  • Support various print functions ranging from file management, printing and inserting operations which includes gift card daily production support
  • Support recall operations by serving as the main point of contact for the Recall team, processing Notifications and Return Authorization files
  • Communicating to internal clients realistic deliverable expectations
  • Process returned undeliverable mail from various check runs and other distribution streams
  • Research the correct addresses for undeliverable checks, by consulting Inmar address databases, communicating with customers, and performing online research
  • Communicate with internal customer support teams to improve the accuracy of information in Inmar's databases and provide opportunity for client input, as needed, to help checks reach the correct payees when they are first mailed
  • Document and communicate check reissue requests to the appropriate teams using team-approved tools
  • Other duties and/or projects as assigned

Administrative (20%)

  • Maintain and produce accurate reporting on productivity metrics
  • Assist with the maintenance of Standard Operational Procedures
  • Enter data into various systems to ensure records are maintained accurately and comprehensively

Required Qualifications:

  • High School Degree
  • 2+ years related work experience in document operations or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities needed to complete the major responsibilities/essential functions of the position
  • Basic experience with data entry skills that ensures accuracy
  • Strong attention to detail and commitment to follow through and continuous improvement
  • Proficient with G-Suite and Microsoft Office tools (Excel and Word)
