Objectives

 

The Senior Executive – Engineering Stores is responsible for the efficient management of engineering stores operations, ensuring timely receipt, storage, preservation, issue and inventory control of engineering materials, spare parts, consumables and fuel. The role supports uninterrupted maintenance operations through accurate inventory management, statutory compliance, ERP transactions, and adherence to Quality, Health, Safety, Environment (QHSE) and Supply Chain Security requirements.

Key responsibilities

Inventory & Store Operations:

Ensure accurate receipt, verification, storage and preservation of engineering materials, spare parts, consumables and tools. Verify received materials against Purchase Orders, Delivery Challans and technical specifications. Prepare Goods Receipt Notes (GRN) and complete ERP transactions accurately and within prescribed timelines. Coordinate with Engineering team for timely technical inspection and material acceptance. Maintain optimum inventory accuracy through cycle counts, perpetual inventory verification and annual stock audits. Maintain proper bin locations, material identification, labeling and storage practices.

 

Material Issue & Control:

Issue stock and non-stock materials in accordance with approved procedures and authorization limits. Manage returnable and non-returnable material transactions with complete documentation. Control gate pass documentation for inward and outward movement of materials, tools and equipment. Maintain records of repairable, reusable, warranty, sample, obsolete and scrap materials.

 

Fuel Management:

Maintain accurate fuel inventory records, receipt, storage, issuance, reconciliation and daily transaction reports. Ensure compliance with applicable statutory and safety requirements related to fuel storage and handling.

 

ERP & Documentation:

Ensure timely and accurate recording of all inventory transactions in the ERP system. Maintain all stores documentation in accordance with company policies and audit requirements.

 

Safety, Environment & Compliance:

Comply with all applicable Quality, Health, Safety, Environment and Supply Chain Security Management System requirements. Ensure safe storage, handling and housekeeping of all engineering stores and storage locations. Manage hazardous and non-hazardous waste storage in accordance with statutory and company requirements. Maintain hazardous waste records. (Form-3 and other statutory records as applicable). Participate in safety inspections, audits, risk assessments and implementation of corrective actions.

 

General Responsibilities:

Support Engineering Maintenance by ensuring timely availability of critical spare parts and consumables. Maintain effective coordination with internal stakeholders for smooth material flow. Perform any other duties assigned by the Reporting Manager or Department Head.

Limits of authorityIssue engineering materials, tools and consumables in accordance with approved authorization matrix and established stores procedures. Perform inventory transactions within assigned ERP access rights. Escalate inventory discrepancies, stock shortages and non-conforming materials to the Reporting Manager.

QUALIFICATIONS, EXPERIENCE & COMPETENCIES



  • Graduate in any discipline, preferably with a Diploma in Mechanical, Electrical or Industrial Engineering.
  • Certification or training in Materials Management, Inventory Management or Stores Management will be an added advantage.
  • Minimum 4 years of experience in Engineering Stores, Warehouse or Inventory Management in a port, manufacturing, heavy engineering, logistics or industrial environment.
  • Hands-on experience with ERP-based inventory management systems (Maximo, Oracle fusion, SAP, Fusion or equivalent.
  • Experience in handling engineering spare parts, consumables, fuel and maintenance materials.
