What You'll Do:
- Manage and optimize calendars for one or more busy executives, including scheduling internal and external meetings, clearing conflicts, and preparing for the week ahead
- Be a liaison to internal and external stakeholders and provide timely follow-up on requests
- Understand Ro’s business goals and their implications to our everyday work
- Assist with preparation for meetings (creating presentations, research, compiling information, etc) and coordinate any follow-up (sending documents, swag, scheduling follow-up meetings, etc)
- Manage various paperwork/documents/materials as needed
- Arrange travel, including transportation, lodging, and dining reservations
- Provide personal assistance as needed such as ordering lunch, booking appointments (doctor, dentist, etc), running errands, and placing personal orders (gifts, flowers, etc)
- Collaborate with other EA’s to improve existing business operations
- Plan and execute team meetings, activities and events
- Manage special projects
What You'll Bring to the Team:
- Bachelor’s degree or relevant work experience in a fast-paced environment
- Experience managing several busy calendars and proficiency with Google G Suite (Docs, Drive, Calendar, Mail)
- Strong verbal, written, and interpersonal communication skills
- Extreme trustworthiness when handling sensitive, confidential information
- Excellent project management skills with the ability to prioritize and juggle multiple tasks
- Strong stakeholder management—you can effectively manage workload across multiple leaders with ease; you’re not afraid to speak up if something is unclear, unrealistic, or you're experiencing roadblocks; you proactively develop systems for prioritization and communicating status
- A drive to identify and execute ways to add value, streamline, or improve
- Resourcefulness, confidence in decision making, and sound judgment
- Relentless attention to accuracy and detail
- A willingness and ability to be accessible when there is an urgent or sensitive matter which is sometimes after working hours or on the weekend
