We are looking for a Senior and Management Assistant professional to work in the Office and QA department of our Global Trading Entity, Ferring Pharmaceuticals BV (FPBV). As part of our team, you will work closely with senior leadership and the FPBV office to ensure that both administrative and quality assurance processes run smoothly. This position is ideal for someone who thrives in a fast-paced, detail-oriented environment, and is passionate about supporting senior management and upholding the quality standards within our company.

In this position, you will play a crucial role in supporting the FPBV office and managing quality assurance tasks. You will provide high-level administrative support to senior management, coordinate office activities, and execute quality assurance responsibilities to ensure compliance with industry regulations and company standards. This role requires excellent multitasking abilities, a proactive attitude, and a high level of discretion and professionalism.
Your day at Ferring

Provide general secretarial duties to senior management, including correspondence, scheduling appointments, managing board meetings, handling email and mail, and making travel arrangements.

Create agendas and presentation materials for our headquarters board meetings using Diligent Boards on behalf of senior management.

Take minutes during FPBV Board meetings and maintain records.

Organize travel arrangements for the FPBV team, including necessary bookings.

Organize events, such as internal and external meetings, conferences, and guest visits.

Assist the FPBV team with office programs, translations, and proofreading documents.

Transform notes into professional presentations for senior management.

Manage office supplies, IT services, cleaning, and courier bookings.

Set up contract signature workflows in AdobeSign (GxP) and Veeva.

Sort, file, and archive documents such as correspondence and invoices.

Keep company archives up-to-date and organized.

Prepare and submit expense claims on behalf of senior management.

Monitor outstanding invoices and ensure timely follow-up.

Create purchase orders, manage receipt of invoices, and book expenses in finance systems like Coupa.

Manage vendor creation and update vendor information in Ferring’s finance systems.

Provide administrative support to FPBV Responsible Person in handling quality-related tasks.

Ensure knowledge of relevant procedures and processes to assist in executing quality tasks.

Open and manage change controls and transport deviations in Ferring’s quality systems (e.g., Veeva, TrackWise).

Support in preparing for health authority inspections and internal audits.

Assist with self-inspections and ensure inspection readiness at all times.

Act as the administrator and subject matter expert on quality system tools like Veeva, TrackWise, and Cornerstone.
Behind our innovation…There’s you

3-5 years of experience in a similar senior administrative in the Pharmaceutical Industry or Healthcare Industry is mandatory.

Quality assistance experience is preferred, but not mandatory.

College degree or higher, preferably in Business Administration, Quality Management, or related field.

Fluent in English and Dutch is mandatory; fluency in additional languages is a plus.

Excellent time management skills with the ability to prioritize and multitask under time constraints.

Strong problem-solving, planning, and organizational skills.

Experience in a multinational environment with the ability to work independently (especially in small teams) and across diverse cultures.

High level of integrity, reliability, and conscientiousness.

Proficiency with MS Office (Word, Excel, PowerPoint) and experience using software tools like Veeva, TrackWise, and Coupa.

Experience with global quality systems, training management, or finance systems.

Project management experience or capability.

Strong believer in service and support with a proactive, team-oriented mindset.
