We are recruiting for a Senior Administrative Assistant to join our team in Farmington Hills, MI.  This is a hybrid role, working 3 days in the office and 2 from home.

POSITION SUMMARY:

Supports senior level leaders of the company by conducting research, organizing information, making reports, and other independent assignments.  Provides comprehensive administrative support to leadership to ensure goals and objectives are met.

RESPONSIBILITIES:

  • Provide comprehensive administrative support as necessary to complete assignments; including maintaining schedule, business travel and expenses, planning meetings or other events, and organizing documents and meetings materials.

  • Manage leader’s calendar and prioritizes inquiries and requests while troubleshooting conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements.

  • Prepare and format information for internal and external distribution, including compiling data for reports, drafting correspondence, creating presentations, and other similar tasks.

  • Research matters related to the leader’s assignments, summarize research for manager and develop additional sources of information, as necessary.

  • Communicate with internal and external business partners, including taking phone calls, written, and electronic communications; respond to inquiries or requests within scope of responsibility.  

  • Plan and coordinate meetings in anticipation of leader’s needs, providing draft agendas, reserving accommodations, meals, and audio/visual support for each meeting.  Solicit other attendees for availability.  Provide meeting minutes, as requested.

  • Prepare financial and budget reports for department.

  • Maintain files used by senior leadership to ensure access to data.

REQUIREMENTS:

  • High School diploma or GED.

  • 7 years administrative support experience.

  • Insurance industry experience, preferred.

  • Intermediate proficiency with Microsoft Office Suite.

  • Excellent organizational skills, including ability to multi-task and prioritize workload.

  • Excellent problem-solving skills and attention to detail.

  • Demonstrated successful ability to perform accurate work under the pressures of tight schedules.

  • Excellent verbal and written communication skills with the ability to interact with internal and external customers.

  • Ability to travel overnight up to 5%
