About the roleThis is a new role on our Sales Operations team, focused on the Polish market and the wider CEE region. As Sales Support, you'll be the operational glue between Sales, Finance, Admin, CCS, and our clients, making sure that everything that should happen after a deal is closed actually happens: contracts are in order, clients are properly set up in our systems, invoices can go out, hardware ships on time, and internal requests don't fall through the cracks.
You'll report to the Head of Sales Operations and work closely with the sales team, finance, and our Customer Success team. Onboarding is gradual – you'll learn the ropes alongside our salespeople before taking full ownership of the administrative work.
It's a role for someone who likes structure, takes ownership of follow-ups, and gets satisfaction from things being done properly rather than left half-finished.
One important note: this is an operational role, not a sales role. The growth path here leads deeper into Sales Operations: CRM management, data quality, process ownership, cross-team coordination. If your goal is to move into sales, this isn't the right fit, and we'd rather flag it upfront.
This is a hybrid role: 2–3 days per week from our office in Kraków or Warsaw.
What you'll doPrepare contract annexes and amendments for clients across Poland and the CEE region
Handle post-signature administrative work: setting up new client accounts in our systems, working in HubSpot (and other tools) to enter all data required for invoicing
Manage contract terminations and client data migrations, including obtaining the necessary migration consents
Work closely with the Finance team on payment collection and overdue invoices
Coordinate NFC tag orders and shipments together with our Admin team
Coordinate internal handling of various client requests with the CCS team: training sessions, development work, and ad-hoc needs
Up to 2 years of professional experience (this role is open to people early in their careers: administration, back-office, customer support, or sales operations backgrounds all welcome)
English at C1 level and fluent Polish: you'll be writing contract documents and communicating with both internal teams and clients in both languages
Strong attention to detail: you'll be working with contracts, invoicing data, and client records where small mistakes cause big downstream problems
Solid organizational skills and a habit of following things through to closure rather than letting them hang
Comfort coordinating across multiple teams (Sales, Finance, Admin, CCS) and chasing people politely but firmly when something needs to move
Comfort working with multiple tools and systems and learning new ones quickly
Basic Excel – navigating, sorting, and filtering data (no advanced formulas needed)
Hands-on experience with HubSpot or a similar CRM
Experience with electronic document workflow tools (PandaDoc, DocuSign)
💰Competitive Salary Range – Depending on your experience, we offer between 5000 – 7000 PLN gross on Contract of Employment or 6000 - 8400 PLN net on a B2B contract.
