We are seeking a proactive and detail-oriented Sales Support Specialist / Customer Service Representative (CSR) to support the Sales Manager and ensure a smooth, responsive experience for our customers. This role serves as the primary point of contact for order updates and account management, handles outbound calls to prospects and existing customers, creates orders on behalf of the Sales Manager and the Production Team, places apparel orders with vendors, enter order information into Production Calendar, and coordinates closely with the production team to keep jobs moving on schedule. The ideal candidate is organized, communicates well under pressure, and enjoys juggling multiple customers and orders at once.

KEY RESPONSIBILITIES

  • Answer and manage incoming calls coming into the office
  • Make outbound calls to prospective and existing customers to generate leads, follow up on quotes, and support sales initiatives.
  • Serves as a day-to-day point of contact for customers, building and maintaining strong customer relationships that support the Sales Manager while providing additional value to the customer experience.
  • Enter, process, and track orders in the Production Calendar.
  • Proactively communicate with customers to keep them updated on order status, production timelines, and any delays or issues.
  • Place apparel orders with outside vendors and suppliers, confirming pricing, sizing, quantities, and delivery timelines.
  • Track vendor order status and follow up to ensure apparel and materials arrive on schedule.
  • Communicate order details, specifications, and deadlines clearly to the production team, and relay production updates back to customers.
  • Coordinate with the Sales Manager or Owner on customer priorities, order status, and customer needs.
  • Resolve customer questions, concerns, and order discrepancies promptly and professionally.
  • Maintain organized, accurate records of orders, customer and vendor activities, communications and correspondence through the use of a Customer Relationship Management (CRM) tool.
  • Identify opportunities to upsell or cross-sell additional products and services to existing customers.
  • Support other administrative, sales and customer service functions as assigned by the Sales Manager.

REQUIRED QUALIFICATIONS

  • 2-3 years of experience in sales support, customer service and management, or a related role, required.
  • Comfortable making outbound calls and communicating with customers by phone, email, and in person.
  • Strong organizational skills with the ability to manage multiple customers, orders, and deadlines simultaneously.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with sales, production, and outside vendors.
  • Strong attention to detail and follow-through.
  • Problem-solving mindset with a customer-first approach.
  • Proficiency with Microsoft Office/Google Workspace and general computer skills.
  • High school diploma or equivalent required.

PREFERRED QUALIFICATIONS

  • Prior experience in the apparel, promotional products, printing, or graphics / signage industry.
  • Experience placing and tracking orders with outside vendors or suppliers.
  • Familiarity with production workflows and job scheduling.
