Project Coordinator

The Project Coordinator will assume responsibility for all aspects of project execution.
Based on your technical expertise, you may be asked to be a subject matter expert on Request for Qualification (RFQs), Request for Proposal (RFPs), and Express of Interest (EOIs) proposal submissions. This may include writing and reviewing narratives on your area of expertise, providing information for projects you have worked on and will work on with Bird, and providing information required for your resume.
This position is based out of our Mississauga office, with travel to sites as required.What You Will Be Working On
  • Assists with the preparation and execution of the overall work plan and schedule.

  • Organizes and maintains project site files and documents; manages electronic document database and/or file sharing site.

  • Maintains up-to-date, accurate documents for the project, including drawings, plans, submittals, document logs, purchase orders, etc.

  • Reviews subcontractor/supplier progress applications and payment certificates

  • Liaises with architects, consulting engineers, subcontractors, and suppliers regarding contract and change notices, design revisions, RFIs, RFQs, etc.

  • Prepares and participates in meetings with the project team, architects, consultants, and subcontractors.

  • Prepares and distributes accurate and detailed meeting minutes promptly

  • Assists with providing final document turnover to the client at the completion of the project

  • Coordinate deficiencies promptly.

  • Maintains project awareness to keep the Project Manager and others informed about status and potential project issues.

  • Provide other technical office support as required by the project team.

What We Are Looking For
  • Completed post-secondary degree or diploma in a construction-related discipline.

  • Minimum 3 years of experience in a project support role, preferably with an ICI General Contractor or subcontractor.

  • Experience working on commercial and/or institutional projects from start to finish.

  • Works effectively in a team environment.

  • Ability to read and interpret contract specifications, drawings, and other construction documents.

  • Excellent computer skills and proficiency with MS Office, including MS Project; experience with SharePoint is a plus.

  • Strong organizational and time management skills to prioritize workload and stay on top of things as the project demands increase.

  • Client service and customer focus to establish and maintain effective relationships with customers.

  • Self-motivated with strong willingness and ability to learn and be challenged.

  • Experience on collaborative contract model projects preferred but not required.

Skills Required

  • Proven experience in risk management within large-scale development and construction projects
  • Strong understanding of risk registers, QCRA/QSRA methodologies, and contingency planning
  • Familiarity with project governance frameworks and reporting requirements
  • Proficiency in risk management software and data analysis tools; Safran is preferred
  • Excellent communication and collaboration skills
  • Professional certifications in risk management (e.g., CRM, PMI-RMP, ISO 31000)
  • Experience in infrastructure or healthcare redevelopment projects
