About the role

Reporting directly to the Senior Vice-President, Member Experience & Pension Operations, the Relationship Advisor, Office of the SVP will oversee various operational and business administration aspects pertaining to all requirements of the SVP’s office.

The successful candidate will perform diverse functions to support the advancement of the SVP’s priorities and objectives for the MExPO division to ensure the ongoing strengthening of the team’s culture and the overall corporate objectives. This includes liaising with internal and external stakeholders, service providers and business partners to lead the coordination of key projects, team activities, and undertaking research or other project support where required. This role is well-suited for a highly organized individual who enjoys working with others to advance several initiatives concurrently.

What you’ll do

  • Contribute to overall OSVP objectives.

  • Act as the gateway and gatekeeper to the OSVP, including:

  • Working closely with the SVP to create a relationship map of key relationship touchpoints.

  • Strategically manage relationships to reinforce a positive impression of the MExPO Division with internal and external stakeholders.

  • Manage requests for SVP interaction and determine appropriate course of action.

  • Create debrief notes as required, and carry forward items for action and follow-up.

  • Lead the department budget planning, monitoring and forecasting.

  • Process all invoices and expenses pertaining to the OSVP.

  • Manage the process flow for various SVP chaired Committees including, scheduling committee meetings, developing agendas, compiling, and editing materials prior to distribution.

  • Drive production of materials for Corporate and MExPO initiatives and Board material.

  • Liaise with various departments as necessary.

  • Provide human resources support by coordinating the OSVP recruitment process and onboarding of new employees.

  • Manage a variety of MExPO Division events and functions. 

  • Liaise with external parties, recommend venues, and look for cost effective pricing.

  • Review multiple iterations of documents on behalf of the SVP, prior to divisional distribution.

  • Attend Senior Leadership meetings, capture notes, and ensure action items and deliverables are met.

  • Provide high level business administration support to the SVP including and not limited to calendar management, communication screening, responding on behalf of the SVP, where appropriate, with the highest level of confidentiality.

  • Performs other duties as assigned.

  • Ensure clear understanding and adherence of all OPTrust’s policies, procedures, guidelines as well as living our values and fostering an inclusive culture.

What you bring

  • A minimum of 7 years’ experience providing senior-level support to executives, including experience operating as a senior or executive assistant in a complex organization.

  • Experience in the pensions, financial services or a regulated environment is an asset.

  • College or university degree preferred.

  • Demonstrated ability to work independently, exercise sound judgment, and manage sensitive information in a fast-paced executive environment.

  • A trusted gatekeeper and relationship builder who engages with professionalism in all interactions with internal and external stakeholders.

  • Strong digital literacy, with the ability to manage information using databases, and other applications to manage information, analyze data and produce reports.

  • Exposure to knowledge management processes preferred.

  • Strong written and communication skills to compose a variety of correspondence and ensure accuracy of material.

  • Detail-oriented, with experience supporting teams and balancing multiple complex tasks and priorities. 

  • Ability to multitask and prioritize deadlines. 

  • Self-motivated and able to work with minimum supervision, as well as a team player.

  • Strong technical skills and proficiency with MS applications. 

  • Demonstrated critical thinking, listening and interpersonal skills.

  • Excellent organizational and time management skills. 

  • Knowledge of financial software to produce expense reports.

  • Effectively plans work through defining objectives and anticipating needs and priorities.

  • Highly professional and uses discretion to protect confidential materials. 

  • Ability to work with all levels of executives and employees. 

  • Strong relationship management skills with a collaborative and innovative mindset.

The range of expected compensation for this position is $104,540 to $128,773 per year.
