Job Description
Schedule: Monday - Friday, 8:30am - 5:00pm (37.5 hours per week)
Position Summary:
The Registration Assistant provides administrative and operational support to the Registrar’s Office. This position serves as the primary contact for students, faculty, and staff. The Registration Assistant works as part of a team responsible for responding to phone inquiries, assisting students at the front counter, processing registration, drop/add, requests for transcripts and letters, and general troubleshooting. Before Commencement each year, the Registration Assistant assists with confirmation of general requirements and assists with the organization of diplomas.
This is a full time, in-person CWA Union position for the full year.
Responsibilities:
Support the budget operations of the department: process invoices; track and compare planned budget to actual expenses; provide notice if out of alignment.
Provide administrative assistance for meetings, calls, and staffing plans; maintain filing systems and department calendars. Provide back-up support to the other Registration Assistant as needed.
Support reception/front desk interactions, answer phones, respond to inquiries, collect and distribute mail, and maintain office supplies.
Assist in the processing of student and alumnae/i academic records (transcripts), enrollment and degree verification letters, and specialized verification forms for insurance companies, the Athletics Department, and other entities; both computer-generated (Banner/Perceptive Content, etc.) and hard copy.
Communicate in multiple modes with department members, vendors, on-campus offices, alumnae/i, volunteers, and/or other off-campus partners to complete departmental tasks.
Support data entry, electronic file maintenance, and running standard reports, including updating and maintaining permanent student and guardian address/contact information, processing legal name changes, and providing the National Student Clearinghouse with missing student and graduate data.
Responsible for updating student records such as major declarations, correlated declarations and grade changes.
Required knowledge, skills and abilities:
A minimum of two years of administrative support experience or other work experience.
Strong computer skills including proficiency with Google Suite, Microsoft Office suite and ability to learn additional technical systems.
Strong written and verbal communication skills.
Ability to interact effectively with a diverse community.
Ability to sit or stand for extended periods of time.
Ability to interact socially with others.
Preferred knowledge, skills and abilities:
Four years of administrative support experience.
Experience working with software systems including finance and accounting systems, payroll, student information systems, or customer relationship management systems.
Compensation:
The compensation for this position is $18.51 per hour.
