The Role:
The Recruiting Coordinator will be instrumental in supporting Ambience’s Talent Acquisition efforts by ensuring a seamless and efficient interview experience for all candidates. This individual will work closely with recruiters, hiring managers, and candidates to efficiently coordinate and schedule interviews, manage communication, and facilitate a positive candidate experience. The Coordinator will play a key role in establishing and maintaining an organized recruiting process by managing interview logistics, collecting feedback, and optimizing scheduling systems.
Key responsibilities include coordinating complex interview schedules across multiple time zones, acting as a point of contact for candidates throughout their interview journey, and continuously improving our operational processes to support the recruiting team. This role is crucial in creating a high-quality candidate experience and ensuring the smooth operation of our recruitment function.
What you'll do:
- Efficient Interview Coordination: Ensure all interviews are scheduled accurately and efficiently, accommodating multiple time zones and stakeholders.
- Candidate Experience Management: Maintain a high level of candidate care by providing timely and clear communication throughout the interview process.
- Data and Record Management: Assist in keeping all candidate records (stage transitions, interview dates, etc) up-to-date in ATS and other tracking systems, ensuring data accuracy and accessibility.
- Operational Process Optimization: Identify and implement improvements to the scheduling and communication processes to enhance efficiency and reduce bottlenecks.
- Collaboration and Support: Act as a key support for recruiters and hiring managers, facilitating smooth coordination and problem-solving.
Who you are (qualifications):
- 3+ years of experience in a recruitment coordination or similar administrative role, preferably within a fast-paced, dynamic environment.
- Mission-focus, optimism, and a deep interest in improving the lives of patients & healthcare providers.
- Proven ability to manage complex interview scheduling across multiple time zones and with various stakeholders.
- Strong organizational skills with meticulous attention to detail and a focus on delivering high-quality work.
- Excellent communication and interpersonal skills, with a customer-service mindset and a commitment to providing a positive candidate experience.
- Proficiency in using Applicant Tracking Systems (ATS) and other recruitment tools.
- Ability to travel to the office on an in-person, hybrid basis 2-3 times per week.
Qualifications (Nice-to-Haves):
- Proficiency in Ashby (ATS), including wrangling complex multi-time-zone scheduling challenges.
- Experience working in a technology or startup environment.
- Familiarity with recruitment metrics and data-driven decision-making.
- A passion for process improvement and operational excellence.
This role is a contract-to-hire, hybrid in-person & remote role, with 2-3 days per week in office in SF.
Compensation: $35-50/hr, dependent on experience.
