Position: Recruiting Coordinator (Non‑Exempt)

Position Summary
The Recruiting Coordinator provides direct administrative and operational support to the Recruiting Manager, serving as a backup to ensure continuity across the recruiting function. This role is responsible for executing key steps in the hiring process — including candidate screening, interview scheduling, offer administration, and job requisition management — while also supporting the development and upkeep of job descriptions across the organization.
Key Responsibilities:
Candidate & Interview Support
- Conduct initial phone screens to assess candidate qualifications and fit
- Schedule phone and interview appointments between candidates and hiring teams
- Serve as a point of contact for candidates throughout the interview process
- Guide applicants through the online application process, resolving system access issues and supporting a positive candidate experience
- Facilitate the early stages of the hiring process by communicating timelines, next steps, and onboarding expectations to candidates
Offer & Requisition Administration
- Extend offer letters on behalf of the Recruiting Manager, ensuring accuracy and consistency with approved compensation and terms
- Maintain ADP Recruitment Manager, including posting new positions and removing filled or closed requisitions in a timely manner
- Ensure ADP Recruitment Manager remains current and accurate, regularly reviewing requisition statuses, candidate records, and job postings to confirm the system reflects real-time hiring activity
- Track requisition status and support reporting needs as requested
Job Description Management
- Assist in drafting new job descriptions in partnership with hiring managers and the Recruiting Manager
- Maintain and update existing job descriptions to ensure accuracy and consistency across departments
New Hire Tracking
- Maintain new hire tracking reports
Recruitment Events
- Set up and coordinate job fairs as needed
Backup Coverage
- Step in to support core recruiting functions in the Recruiting Manager's absence, ensuring no disruption to hiring timelines or candidate communication
Qualifications
- High School Diploma or equivalent required.
- Bachelor’s degree in HR, business, Employee Relations, or related field preferred.
- 1+ years with a broad-based recruiting coordinator background.
- Experience using HRIS/Payroll Systems, ADP preferred.
- Proficient in Excel required.
