- Build and maintain pilot and instructor training folders.
- Ensure program‑specific training documents are available and up to date.
- Prepare maintenance training and Advanced Airmanship training records.
- Distribute required training documentation.
- Complete standard and custom client course‑completion documents.
- Ensure all training folders meet FAA and FAR compliance requirements.
- Maintain databases of pilot and client training records.
- Audit digital records against client requirements to ensure accuracy prior to publishing.
- Work with instructors and check airmen to ensure timely receipt and processing of documentation.
- Assist internal and external clients with training records inquiries.
- Perform additional administrative duties as needed.
- Occasional ascending/descending of ladders, stairs, scaffolding, ramps, and poles.
- Frequent stationary positioning (sitting or standing).
- Occasional movement throughout the facility.
- Occasional lifting or adjusting of objects up to 20 lbs.
- Frequent repetitive motions of wrists, hands, and fingers.

- High School Diploma or equivalent.
- 1–3 years of relevant experience in airline records, FBO operations, or planning.
- Strong knowledge of Microsoft Windows, Word, and Excel.
- Excellent phone and customer service skills.
- Ability to work in a fast‑paced environment and maintain professionalism under pressure.
- Strong organizational skills and ability to multi‑task.
- Detail oriented with the ability to work independently and with minimal supervision.
- Ability to adapt quickly and work effectively in a new environment.
- Ability to work during inclement weather, overtime, weekends, and evenings as needed.
- Ability to sit for long periods and lift up to 20 lbs.
- Associate or Bachelor’s degree in Aviation Science or Administration.
- 2–3 years of experience in Corporate Aviation.
- Knowledge of aviation, aviation training, and aviation regulations.
- Outgoing, professional demeanor with strong teamwork abilities.
- Strong customer orientation, even in challenging circumstances.
