Job Description

Role Purpose:

  • To ensure an effective and customer focused service is provided in accordance with the contract specification and agreed service levels.

  • To develop and maintain a positive relationship with clients and Cushman and Wakefield vendors.

  • To provide core reception requirements while supporting the facilities team

  • Provide high quality customer service to both internal and external customers

  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality and client satisfaction.

Core Responsibilities:

  • Ensure client security processes are followed tby signing in of visitors and issue/retrieve visitor passes.

  • Collection of guest visitors as and when required

  • Sign in all visitors and issue / retrieve visitor passes. Respond to any visitor enquiries in a friendly and professional manner.

  • Complete all reception tasks and oversee the catering activities, guest & contractor registration including meeting room reservations, timely delivery and prompt removal and disposal of catering items as required.

  • Complete meeting room inspections and resolve/report any issues on a daily basis.

  • Develop positive relationships with clients, local management and service providers. 

  • Management and ordering of general office supplies.

  • Management of Facilities vendors such as cleaning & mechanical, ensuring agreed scopes are adhered to.

  • Management of mail and processes for sending either through internal / external mail. This includes booking and receiving mail through courier companies.

  • Raising reactive tickets as and when necessary

  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.

  • Assist with monitoring outsourced contractors on an as needed basis for safety and security.

  • Process supplier invoices and raise purchase orders, assist with completing monthly accruals and budget forecasting.

Skill and Experience

  • Minimum of 1 years’ experience working in a similar role or as a receptionist, senior level administration support in a corporate environment.
