Hauptaufgaben:
 

Empfangsbetrieb & Besuchermanagement

  • Freundliches und professionelles Begrüßen von Kund:innen, Besucher:innen und Mitarbeitenden als erste Anlaufstelle.
  • Registrierung von Kund:innen/Besucher-Check-in und Unterstützung bei Anfragen; Bereitstellung korrekter Informationen und Wegbeschreibungen.
  • Sicherstellen, dass der Empfangsbereich jederzeit sauber, ordentlich und repräsentativ ist.

Konferenzraum-Management & Raum-Setup

  • Buchung und Terminierung von Konferenzräumen; Sicherstellen, dass Meeting-Anforderungen erfüllt werden (inkl. AV-/Medientechnik und Catering-Koordination).
  • Vor- und Nachbereitung sowie Auffrischen von Konferenzräumen; Bereitstellen von Technik, Materialien und Erfrischungen gemäß Bedarf.

Administrative Aufgaben & E-Mail-Management

  • Bearbeitung ein- und ausgehender E-Mail-Kommunikation; zeitnahe Beantwortung und ordnungsgemäße Dokumentation.
  • Pflege von Logbüchern sowie Verwaltung von Konferenzraumplänen; Sicherstellen korrekter Aufzeichnungen zu Meetings und Terminen.

Unterstützung von Kund:innen & Besucher:innen

  • Begleitung von Kund:innen, Besucher:innen und Dienstleistern zu den jeweiligen Zielorten; sicherstellen, dass Anliegen zeitnah und professionell betreut werden.
  • Annahme und Verteilung von Lieferungen; korrekte Nachverfolgung und sachgerechte Behandlung.

Event-Support & Ad-hoc-Aufgaben

  • Unterstützung bei Planung und Durchführung von Events im Gebäude; Sicherstellen reibungsloser Abläufe und hoher Kundenzufriedenheit.
  • Übernahme weiterer Ad-hoc-Aufgaben nach Anforderung durch das Management zur Unterstützung effizienter Betriebsabläufe.

Purpose of the Role

The Receptionist plays a key role in delivering a first-class experience for visitors, clients, and internal staff. This role ensures the smooth operation of the front office by managing conference room bookings, coordinating setup and refreshment services, and maintaining professional communication. Additionally, the receptionist is responsible for greeting and assisting visitors, handling deliveries, and supporting building events. Key Responsibilities:

Front Desk Operations and Visitor Management

  • Greet and welcome clients, visitors, and staff, ensuring a professional and friendly first point of contact.
  • Manage client registration and assist with visitor inquiries, providing accurate information and directions as required.
  • Maintain the reception area’s cleanliness, organization, and professional appearance at all times.

Conference Room Management and Setup

  • Handle the booking and scheduling of conference rooms, ensuring all meeting requirements are met, including AV setup and catering coordination.
  • Prepare and refresh conference rooms before and after meetings, ensuring equipment, materials, and refreshments are set up as requested.

Administrative and Email Management

  • Manage incoming and outgoing email communications, ensuring timely responses and proper documentation.
  • Update logbooks and manage conference room schedules, maintaining accuracy in records of meetings and appointments.

Client and Visitor Support

  • Escort clients, visitors, and contractors to their respective destinations, ensuring they are attended to promptly and professionally.
  • Assist with the receipt and distribution of deliveries, ensuring accurate tracking and handling.

Event Support and Ad-Hoc Tasks

  • Support the planning and execution of building events, ensuring smooth logistics and client satisfaction.
