Receptionist – JLL
What this job involves:
As the face of our workplace, you'll serve as the welcoming first point of contact for all visitors, employees, and clients. This role combines exceptional customer service with comprehensive administrative support to create a seamless front-of-house experience. You'll manage everything from visitor registration and meeting room coordination to mail handling and facilities support, ensuring our office operates smoothly and professionally at all times. What your day-to-day will look like:
- Welcome all visitors with genuine warmth and professionalism, guiding them through security registration, notifying their hosts, attending to their needs throughout their visit, and ensuring a positive departure experience.
- Maintain reception areas and meeting rooms to the highest standards of presentation.
- Manage meeting room operations by processing bookings in Resource Scheduler, conducting daily room inspections for cleanliness and functionality, coordinating furniture arrangements, ordering and delivering catering, and providing first-line audio-visual equipment support.
- Answer and direct phone calls according to professional standards while serving as the primary information resource for employees regarding all reception and building services.
- Track all visitors, vendors, and guests using Resource Scheduler while maintaining meticulous records that comply with security protocols and issuing visitor passes per established standards.
- Support the Facilities Management team with responsibilities including minor maintenance vendor coordination, assisting with building inspections and walkthroughs, helping with vendor scheduling, and providing backup coverage during peak periods or staff absences.
- Coordinate security access cards for employees and vendors, book transportation in accordance with company policies, maintain up-to-date standard operating procedures, and complete all mandatory training within required deadlines.
Required Qualifications:
- At least 2 years of experience in similar roles, or experience in facilities management, hospitality, corporate reception.
- Strong organizational skills
- Technology proficiency including experience with scheduling systems, Microsoft Office applications, and ability to quickly learn new software platforms
- Commitment to workplace safety with knowledge of health, safety, and security protocols including incident reporting procedures
- Flexibility to adapt to changing priorities, work independently with minimal supervision, and maintain a goal-oriented focus on meeting performance targets

Work Shift: M-F, 8am to 4pm

Expected compensation for this position:
41,600.00 – 53,000.00 USD per year
Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
