Fisher Phillips, a premier international labor, and employment law firm is seeking a skilled and experienced Receptionist to join our team. In this essential role, you will contribute to the seamless operation of our services, providing crucial support to our department in delivering exceptional client service and maintaining our commitment to excellence.
Key Responsibilities
- Phone and Visitor Management: Answer phones, transfer calls to appropriate employees, and take messages when necessary. Greet and assist visitors by offering drinks, providing parking validation stamps, copying documents, and addressing other needs.
- Mail and Package Handling: Accept and sign for incoming packages, open, stamp, log, and distribute mail. Process all incoming faxes, notify recipients via email, and ensure proper distribution of faxes.
- Conference Room and Office Management: Maintain the office calendar, schedule meetings, and set up conference rooms. Ensure a clean, organized, and pleasant appearance of the reception area and lobby.
- Administrative Support: Manage subpoena log, closed file inventory log, parking log, and fax log. Maintain new matter intake forms, create client files, and assist with secretarial projects such as timesheet entry and document preparation.
- Confidentiality and Communication: Handle confidential information with discretion and maintain knowledge of each attorney's preferences for conveying information to guests and callers.
- General Office Duties: Perform general administrative, office, and clerical tasks as needed.
Requirements
- Minimum of a high school diploma required (College degree is preferred, but not required).
- Minimum of five years of experience as a receptionist required.
- Desksite or other comparable document management system, Word, Outlook, PowerPoint, Concur, and Excel.
- Possess basic PC skills; ability to use phone system, copier, scanner, fax, and printer.
- Effectively and professionally communicates with clients, opposing counsel, vendors, and firm personnel through concise and accurate written communications.
- Exhibits confident and professional verbal communication skills.
