DUTIES AND RESPONSIBILITIES:

The duties and responsibilities of this position consist of, but are not limited to, the following:

  • Answer and route incoming phone calls to appropriate individuals or departments
  • Greet visitors warmly, ensure they sign in and out, make them feel comfortable
  • Answer general inquiries about the company in a professional and knowledgeable manner
  • Maintain a clean, tidy, and organized reception and lobby area
  • Keep water, coffee, and other lobby supplies stocked and refreshed
  • Order and manage office and lobby supplies as needed
  • Assist with meeting room and lunch setups when requested
  • Update and maintain policy and procedure documentation
  • Maintain continuity across teams by documenting and communicating updated processes or procedures
  • Provide general administrative support and assist with special projects as assigned
  • Assist and back up the mailroom as needed, including coverage for PTO (sorting invoices, mail, and related tasks)
  • Other duties or responsibilities as assigned according to the team and/or country specific requirements

QUALIFICATIONS

Preferred:

  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize in a dynamic office environment
  • Proficiency with phones, basic office systems, and visitor management tools
  • Team-oriented with a willingness to support multiple departments
  • Experience with Microsoft Office is preferred
