The Receptionist will provide professional front-of-house and administrative support for our Germany office, based in Darmstadt. This role is responsible for ensuring a welcoming and efficient reception service while supporting the smooth day-to-day running of the office.
Candidates must be fluent in German, have good written and spoken English, and previous experience in a receptionist or administrative role within a corporate environment. It is essential you are highly professional, service-oriented, and demonstrate strong organizational skills with the ability to manage multiple priorities in a dynamic office environment.
Responsibilities
People Support
- General administration and reception support to the German office.
- Provide professional front-of-house services and act as the first point of contact for visitors and employees.
Duties
- Greet and assist visitors in a professional manner.
- Carry out front-of-house responsibilities, maintaining reception and meeting areas to a high standard and ensuring communal office spaces remain orderly and well organized.
- Handle all incoming and outgoing communications via reception, including telephone calls, emails, post, and courier services.
- Provide support in the management of meeting rooms, ensuring all rooms are appropriately prepared and equipped for internal and external meetings.
- Organization of taxi and hotel bookings as required as well as creating expense reports
- Maintaining office stationery and general supplies.
- Provide general administrative support to the wider team as required.
- Participation in ad hoc projects as necessary.
Qualifications and Experience
- 2+ years’ experience in a receptionist or administrative role within a corporate environment.
- Strong customer service orientation and professional presentation.
- Ability to communicate effectively in German and in English.
- Excellent organizational and multitasking skills.
- High level of reliability and attention to detail.
- Proficiency in MS Office 365.
- Commercial training (e.g., Ausbildung in office administration or similar) preferred.
