The Proposal Development Specialist is responsible for crafting detailed, persuasive, and compliant proposals in response to Requests for Proposals (RFPs), Requests for Information (RFIs), Legal Documents, and other solicitation types. This role involves collaborating with cross-functional teams to gather necessary information and ensure that proposals highlight the organization's strengths and align with client requirements.
JOB RESPONSIBILITIES:
- A thorough understanding of effective document and presentation production. Create and structure proposal documents, including outlining the approach, writing responses to technical or functional requirements, and ensuring the proposal tells a persuasive story.
- Work closely with cross-functional teams (Legal, Sales, Operations, Supply Chain) to prepare a proposal package that is compliant, consistent in format, compelling, and delivered on time per client requirements.
- Coordinate the Request for Proposal (RFP) development process, from initial request through final delivery, including conducting kick-off meetings, creating, and managing schedules, tracking deliverables, and coordinating reviews and approvals.
- Review, understand, and succinctly summarize and communicate project technical scopes of work to RFP stakeholders.
- Coordinate with Legal to ensure all legal documents are reviewed, revised, and executed as required.
- Compose persuasive original content for proposals, such as project approach, executive summaries, company offerings, experience portfolio, project case studies.
- Continuously evaluate and improve the proposal process to increase efficiency and effectiveness. Contribute to proposal templates and maintain a library of standard proposal content for future use.
- Execute multiple tasks simultaneously while adhering to hard deadlines.
- Other duties, as assigned.
JOB REQUIREMENTS:
- Degree in communications, marketing, business, or equivalent years of experience is preferred.
- Excellent writing skills (grammar, punctuation, spelling, vocabulary, clarity, brevity, engagement, flow) and the ability to synthesize/present information in written format.
- Proficiency in using Microsoft software suite, specifically Word, Outlook, Teams, and Excel.
- Smartsheet and Bid/Tender portal software knowledge is a plus.
- Highly organized and analytical with critical thinking skills
- Strong attention to detail and ability to follow through on tasks.
- Demonstrated ability to manage workload and multiple priorities, while meeting shifting/tight deadlines in a fast-paced environment
- Self-motivated and self-disciplined
