You shall reporting to the Manager – Document Controller, Mining Industry as Project Support cum Document Controller, responsible for providing support activities in documentation in invoicing & service functions as required for project Managers. As Document controller you have to strive for Error free documentation report & timeliness is the key factor.

Responsibility:

  • Establishing and maintaining document control procedures and systems.
  • Provides input to the company Document Control System including the establishment of project drawing/document schedules, customer and/or supplier inputs for each assigned project
  • Design and maintain standardized templates for various types of documents to ensure consistency.
  • Submitting all the Engineering documents to the Customer upon receipt of SharePoint request within a day through a Cloud based TeamBinder software
  • Maintain track of documents submitted in Document Deliverable List (DDL) and update dynamically for efficient management
  • Utilizing TeamBinder effectively to track versions, revisions, and updates of outgoing / incoming documents,
  • Maintaining project documentation in SharePoint / shared folders
  • Ensuring that the latest versions are available and accessible by various stakeholders in TeamBinder.
  • Facilitating the distribution of documents to the relevant stakeholders or departments, ensuring accurate and timely delivery.
  • Perform quality checks on documents to ensure accuracy, completeness and adherence to established standards.
  • Collaborating various departments or teams, communicating effectively on document-related matters and ensuring smooth document workflows.
  • Communicating with internal teams or external parties regarding document-related inquiries or requirements.
  • Generating & circulating reports on document control activities, including internal & customer outstanding reports.
  • The vendor documentation is then logged into the Document Control database.
  • Be able to step in and handle the Document Control Lead’s duties for entering, logging, tracking information into the Document Control database when needed.
  • Project commercial documentation such as Billing Schedule, Contractual letters through Document Control Database.
  • In case of LC payment by client- Preparation of necessary supporting documents
What you bring
  • Minimum 7+ Years experience as Project Support or as document controller
  • Proficiency in invoicing documentation & handling LC documentation
  • Proficiency in MS Office tools (Word, Excel, PPT)
  • Experience in Power BI dashboard creation is preferrable
  • Handling diversified people
