Role Overview
Desired applicant profile:
Education:
- Bachelor's degree in
Engineering, Construction Management, Project Management, Operations, or a
related discipline.
- A certification in Project
Management such as PMP, CAPM or equivalent would be an advantage.
Experience:
- Typically 5–7 years of
relevant experience in project coordination, project planning or
project management.
- Experience in construction,
infrastructure, estates, real estate, township development, landscape/land
development or similar field-based projects preferred.
- Experience working with
multiple stakeholders, vendors and site teams.
- Demonstrated experience in
project scheduling, milestone tracking, dependency management and progress
reporting
Role Mission
The Project
Planning & Coordination Manager is responsible for converting field
delivery objectives into clear, structured and trackable project plans.
The role
will bring planning discipline, milestone visibility, dependency management
and execution tracking into field delivery. It will coordinate across the
Regional Field Delivery Lead, site teams, vendors, finance and other
stakeholders to ensure that project progress is visible, delays are identified
early, dependencies have clear owners, and actions are followed through to
closure.
This
role enables execution; it does not replace the field authority responsible for
execution.
Key
Responsibilities
A.
Project Planning & Scheduling
- Translate project objectives
and field delivery requirements into detailed project plans.
- Develop and maintain project
schedules covering activities, milestones, timelines and dependencies.
- Establish clear timelines and
ownership for key project deliverables.
- Track planned versus actual
progress and identify schedule deviations.
- Regularly update project plans
based on changes in scope, priorities or field realities.
- Support teams in sequencing
activities to minimise delays and execution bottlenecks.
B.
Milestone & Progress Tracking
- Establish milestone trackers
for ongoing projects.
- Monitor milestone achievement
against agreed timelines.
- Identify slippages and
highlight potential delays before they become critical.
- Maintain visibility of project
completion status across different workstreams.
- Track task completion and
follow up with respective owners.
- Prepare concise weekly project
progress reports for leadership review.
C.
Dependency Management
- Identify interdependencies
between site activities, vendors, finance, procurement and other
functions.
- Maintain a dependency tracker
with clear owners and expected closure dates.
- Follow up on open dependencies
and escalate ageing or critical dependencies.
- Ensure that cross-functional
dependencies are visible to the relevant stakeholders.
- Support teams in resolving
coordination gaps that may impact project timelines.
D.
Issue & Risk Tracking
- Maintain project issue and
action logs.
- Capture key execution issues,
responsible owners, agreed actions and target closure dates.
- Monitor issue closure and
identify recurring or ageing issues.
- Escalate critical issues and
potential schedule risks to the RFDL.
- Support structured
problem-solving by ensuring that issues are documented with facts, impact
and proposed actions.
E.
Cross-Functional Coordination
- Act as the coordination bridge
between:
- Regional Field Delivery Lead
- Site/field teams
- Vendors and contractors
- Finance
- Procurement/support functions
- Other relevant project
stakeholders
- Coordinate project reviews and
follow-ups.
- Ensure that action items from
project meetings are documented and tracked to closure.
- Maintain alignment between
project plans and field execution realities.
- Ensure important project
information reaches the right stakeholder at the right time.
F.
Project Documentation & Reporting
- Maintain accurate and updated
project documentation.
- Develop standard project
trackers, dashboards and reporting formats.
- Prepare weekly project
progress reports covering:
- Planned vs. actual progress
- Milestones achieved
- Upcoming milestones
- Delays/slippages
- Open issues
- Dependencies
- Ownership and action status
- Maintain appropriate records
of project decisions, changes and approvals.
- Ensure project information is
organised and easily accessible to stakeholders.
G.
Project Governance
- Establish basic project
management discipline across field delivery projects.
- Ensure agreed project tracking
mechanisms are consistently followed.
- Identify gaps in planning,
ownership or reporting processes.
- Recommend improvements to
project tracking and coordination mechanisms.
- Support leadership with
accurate and timely project information for decision-making.
