B A Gladiators is recruiting on behalf
of our client, a project management consultancy that plans, manages and
delivers projects on behalf of its own clients across a range of sectors. Its
work spans oil & gas, pipeline construction, building construction and
infrastructure, and it also delivers Engineering, Procurement, Construction and
Management (EPCM) contracts. Project management is at the heart of everything
it does.
The Project Officer is the Project
Manager's right hand on the projects the company manages for its clients. You
will keep projects organized, tracked and documented, updating schedules and
cost trackers, collecting site progress, maintaining records and registers, and
preparing reports, so that the Project Manager can make fast, informed
decisions and projects are delivered safely, on time and within budget.
Projects will vary by client, sector,
size and complexity. One assignment may be an EPCM pipeline project; the next
may be a building, infrastructure or other capital project in a different
industry. The Project Officer must be able to set up and run the same
disciplined tracking, documentation and reporting on any type of project, and
quickly learn the terminology and requirements of each new client and sector.
This is a lean, hands-on environment.
The company needs someone who can work independently, use their initiative and
find solutions, rather than someone who waits for detailed instructions or
relies on a large, highly structured organization around them.
1. Planning support
• Help prepare the project execution
plan, work breakdown structure (WBS) and milestone schedule.
• Set up and maintain project files,
trackers and templates from the start of each project, adapting them to the
client and sector.
2. Cost tracking
• Record project expenditure and keep
the cost tracker up to date.
• Track purchase orders, invoices and
payments, and prepare budget variance inputs for the Project Manager.
3. Schedule and progress tracking
• Update the project schedule (MS
Project or Primavera P6) with actual progress.
• Collect daily and weekly progress from
site and flag delays to the Project Manager early.
4. Risk and issue logs
• Maintain the risk register and issue
log and follow up owners until actions are closed.
• Spot problems early and come to the
Project Manager with possible solutions, not just the issue.
5. Communication between departments
and stakeholders
• Help keep a clear, steady flow of
information between the departments and disciplines involved in each project
(for example engineering, procurement, construction, finance and management),
so that everyone works from the same, current information.
• Organize project meetings, take
minutes and keep the action register current.
• Draft client update reports and share
information with the company's stakeholder management lead as directed.
6. Quality records
• Coordinate inspections and keep
quality control records and inspection reports complete.
• Compile client acceptance documents
for completed work.
7. Document control and reporting
• Ensure project documentation is
adequate, accurate and up to date at every stage, including drawings,
approvals, transmittals and change records.
• Keep all project records organized and
audit-ready, and prepare weekly progress reports, milestone tracking reports
and the close-out dossier.
8. Coordination
• Follow up subcontractors, vendors and
suppliers on deliveries, materials and agreed actions.
• Track manpower and equipment on site
against the resource plan.
9. Health, safety and environment
(HSE)
• Follow all HSE requirements that apply
to each project, on site and in the office.
• Keep safety meeting records and track
HSE corrective actions to closure.
10. Project management consulting
support
• Support the company's consulting
assignments for clients in different sectors with research, data gathering,
trackers and report preparation.
• Gather background on each new client's
industry, standards and project requirements so the Project Manager is well
prepared.
The company is built on competence,
professionalism and excellence. It works to international standards and expects
the same from every member of its team. You will be joining a group of
high-calibre professionals who take pride in the quality of their work and the
results they deliver.
Requirements
REQUIREMENTS
• B.Eng/B.Sc in Engineering (Civil,
Mechanical, Petroleum or related), Project Management, or a related discipline.
• 3–5 years' experience in project
support, project controls or site engineering, on oil & gas,
pipeline, building construction or infrastructure projects. Exposure to more
than one sector, or to a project management consultancy, is an advantage.
• A proven record of supporting project
delivery. You will be asked to give examples of projects you have worked on and
your contribution.
• CAPM, PRINCE2
Foundation or another project management certificate is an advantage, as is
COREN graduate registration.
The client is looking for a sharp,
high-calibre project professional who can deliver. You will be:
• A problem solver – when something goes wrong, you think
it through and come back with a workable solution, not just the issue.
• Self-driven – you use your initiative, work
independently and follow up until things are done without waiting to be told.
• Comfortable in a small environment – you thrive in a lean team where roles
are broad, and you do not depend on a rigid structure to perform.
• Highly organised – you keep information accurate and up
to date and raise problems early.
• Adaptable – you pick up new sectors and client
requirements quickly and bring the same discipline to every project.
• Ambitious – you want to grow into a Project
Manager role, managing projects across different sectors.
