- Works with individuals assigned to new projects to organize the project execution team, gather documentation, and develop necessary action plans to execute projects. Responsible for reviewing project documents, including contracts, plans, specifications, and related documentation, and tailoring project deliverables accordingly.
- Ensures Customer Support team has entered orders into the ERP system. Works with internal colleagues to verify purchase order details including scope, pricing, and commercial terms. Ensures documentation is sent to the Contract Team for review.
- Hosts project kick‑off meetings and aligns the project execution team with deliverables, scope, and timelines. Serves as the primary point of contact for customers, suppliers, and internal stakeholders throughout the project lifecycle.
- Reviews submittal requirements and all technical project specifications, including those related to pumps, piping systems, and packaged equipment used in utility and municipal applications. Ensures submittals are developed in accordance with project requirements and timelines.
- Works with third‑party vendors to ensure buyout equipment submittals meet contract specifications, drawings, and applicable utility and municipal standards.
- Upon receiving approved technical submittals, works with the project execution team to release equipment for production. Ensures intercompany purchase orders and documentation are issued to support manufacturing and delivery schedules.
- Ensures project execution team procures all products from appropriate internal and external suppliers, including pumps, piping, valves, and related equipment commonly used in utility and municipal infrastructure projects.
- Partners with Procurement, Operations, and Supply Chain teams to maintain project profitability by managing third‑party costs and coordinating internal production and warehouse releases.
- Ensures compliance with project schedules and milestones. Works closely with Operations, Engineering, and Supply Chain to manage customer deadlines and technical requirements while proactively managing risks and expectations.
- Maintains ongoing customer communication regarding schedule updates, delivery timelines, and technical coordination.
- Ensures required factory or field testing approvals are received. Coordinates with Engineering and Operations to resolve issues when testing is not approved and determine corrective actions.
- Ensures project execution team develops Operations & Maintenance (O&M) manuals in alignment with project scope, utility and municipal standards, and contractual requirements.
- Coordinates shipping, delivery, and invoicing activities in accordance with project plans. Works with freight forwarders to manage delivery timelines and mitigate delays.
- Coordinates start‑up and commissioning activities, ensuring customer expectations are met and proper project close‑out is achieved. Facilitates handover to aftermarket teams for ongoing support.
- Participates in Xylem Watermark volunteer activities.
- Bachelor’s degree required; PMP or similar project management designation preferred
- 3–5+ years of experience managing projects involving pumps, piping systems, or engineered equipment for utility or municipal customers
- Experience supporting water, wastewater, industrial, or municipal infrastructure projects strongly preferred
- Demonstrated ability to interpret technical drawings, specifications, and submittals related to piping and pump systems
- Willingness and ability to provide superior customer support at all times
- Strong verbal and written communication skills
- Excellent problem‑solving, negotiation, and organizational skills
- Ability to effectively collaborate with customers, vendors, and cross‑functional internal teams
- Strong attention to detail with the ability to manage multiple projects concurrently
- Proficiency in Microsoft Office and enterprise systems (ERP experience preferred)
- Intermittent exposure to job site conditions such as gas fields, petrochemical facilities, mills, mines, construction sites, industrial plants, and utility or municipal water and wastewater facilities
- Combination of office environment and customer/job‑site interaction
- Travel as required to fulfill project responsibilities
- Standard 40‑hour work week
- Light lifting (20–25 pounds)
- Regular sitting, standing, walking, reaching, bending, and movement in office and field environments
- Frequent communication with employees, customers, and vendors
SALARY:
The estimated salary range for this position is $80,000 to $100,000 plus bonus. Starting pay is dependent on multiple factors, such as skills, experience and work location, and is not typically at the top of the range.
