Position Summary:
Reporting to the Director, Process Improvement and Client Orientation in the Office of the Vice-President, Administration and Finance, the Project Manager plays an important role in advancing organizational transformation and business process optimization initiatives. Under general direction, the incumbent develops and implements assigned projects; serving as a single point of contact throughout the project lifecycle. The Project Manager develops detailed work plans, schedules, project estimates, resource plans, and status reports and works collaboratively with stakeholders across a matrix organization. The incumbent conducts project meetings and follows up on project issues, schedule and risks. They also ensure adherence to quality standards and review project deliverables.

Primary Responsibilities:

  • Plan and oversee a portfolio of organizational transformations (operating model, culture, service redesign, etc.) and business process optimization projects. Ensure projects are coherent and aligned with optimal sequencing to maximize operational efficiency, enable effective change adoption, and achieve the University’s objectives of transformation.
  • Manage and implement transformation and business process improvement projects using established project management methodologies, including project planning, scheduling, monitoring and execution
  • Provide senior professional expertise; communicate goals, expectations, roles and status updates; follow up on outstanding action items and collaborate with stakeholders to identify and resolve issues as needed.
  • Identify risks and develop risk mitigation plans.
  • Develop measurable project goals, objectives and benefits and monitor progress.
  • Ensure consistency and quality of implementation through the execution of project management best practices.
  • Identify and manage project dependencies and critical path activities to ensure projects remain on schedule and meet established goals/objectives.
  • Develop and manage project plans covering documentation, design, testing, and implementation phases. Monitor budgets, schedules, and key performance indicators to deliver expected results and support effective change management.
  • Coach and guide teams on best practices in organizational transformation, continuous improvement and change management.
  • Identify and realize opportunities for value creation such as cost reduction, improved client experience and operational efficiency.
  • Establish and maintain effective relationships, communication tools and systems with stakeholders to ensure that required information, resources and expertise are available to support the achievement of project milestones and schedules.
  • Obtain direction and decisions from the Project Steering Committee or the Project Sponsor, in a timely manner, on any issues that impede the completion of the deliverables within the project schedule and budget.
  • Develop and implement effective project communication plans, including planning, monitoring and adapting communications to address any arising needs throughout projects.
  • Liaise with stakeholders, partners and other interested parties; collaborate with multidisciplinary teams and provide cross-functional guidance.
  • Contribute to the development of continuous improvement and client orientation standards and methodologies for the Office of the Vice-President, Administration and Finance

Other Qualifying Skills and/or Abilities

  • Undergraduate degree in business affairs, project management or a related field.
  • Desired: 5-10 years’ experience managing similar types of organizational transformation and business process optimization projects
  • Experience managing projects portfolios and programs
  • PMP certification highly preferred
  • Knowledge and proficiency in process improvement methodology and tools, operating model review, service redesign and culture changes
  • Ability to work with multiple stakeholders and prioritize requests. Mastery of PMBOK principles or other recognized project management methodologies.
  • Fluent in English and French, skilled communicator, both in writing and speaking.
  • Ability to work in a team, responsible, quality oriented and able to meet deadlines, aptitude for clear and concise thinking, flexible and able to adapt to change
  • Lean Six Sigma and/or Prosci certification a plus
  • High degree of sensitivity to challenges inherent to culture changes
  • Demonstrated ability to engage stakeholders and bring initiatives to fruition.
  • Excellent facilitation, communication, and influential leadership skills.
  • Comfortable in a matrix environment, with a proactive, solution-oriented approach
