CORE JOB SUMMARY
The Project Manager 1, SCCC (H), supports the planning, execution, and tracking of SCCC projects under the guidance of senior staff. Manages small to moderately complex projects, ensuring alignment with institutional goals and timely delivery.
CORE JOB FUNCTIONS

  • Collaborates with leadership to define project scope and objectives.

  • Assists in establishing project success criteria and evaluation methods.

  • Supports project planning, scheduling, and documentation under the guidance of supervisor, project sponsor, and senior staff.

  • Assists with meeting logistics, preparation of agendas, note-taking, and action-item tracking.

  • Supports workflow documentation efforts and identify process gaps.

  • Identifies basic resource needs and coordinates availability.

  • Develops and maintains project plans, timelines, and task lists.

  • Reviews schedules with stakeholders and adjusts as needed.

  • Monitors project progress and escalate issues when necessary.

  • Assigns tasks and tracks completion across the project team.

  • Supports team management in accordance with organizational policies.

  • Reviews deliverables for quality and compliance with standards.

  • Maintains organized and secure project documentation.

  • Communicates project updates to stakeholders on a regular basis.

  • 1Prepares and presents basic status reports to leadership.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS
Education:
Bachelor’s degree in relevant field required
Experience:
Minimum 1 year of relevant experience required

Department-Specific FunctionsGrant Development & Submission Coordination

Coordinates the end-to-end development of large, multi-investigator research grant proposals.

  • Develops and manages detailed submission timelines aligned with internal deadlines and sponsor requirements

  • Tracks all proposal components across Principal Investigators (PIs), cores, and administrative teams to ensure completeness and alignment

  • Maintain visibility across all grant-related activities, including those led by PIs, Pre-Award, and supporting teams, ensuring deliverables are progressing according to plan

  • Actively participate in meetings and discussions necessary to maintain coordination, continuity, and submission readiness across the full grant effort

  • Identify risks to submission readiness and proactively communicate delays, gaps, or dependencies

PI & Multi-Team Coordination

Facilitate collaboration across Principal Investigators (PIs) and cross-functional teams involved in grant development.

  • Lead and facilitate grant meetings, ensuring discussions are structured, focused, and efficient

  • Guide conversations using project plans and visual tools to track timelines, dependencies, and required deliverables

  • Engage appropriate stakeholders during meetings to provide updates and resolve open items

  • Maintain visibility of upcoming deadlines and communicate expectations to stakeholders

  • Identify and escalate risks that may impact submission timelines

  • Maintain alignment across multiple contributors with competing priorities

Meeting Documentation & Follow-Through

Ensure accurate documentation and timely follow-up to maintain continuity and accountability across grant activities.

  • Capture clear, structured meeting notes and action items, including key decisions, assigned responsibilities, and required follow-ups

  • Ensure documentation reflects complete and accurate meeting discussions, including critical details and stakeholder inputs

  • Review and validate notes prior to distribution to ensure clarity and quality

  • Create agendas with participant input and distribute them in advance of meetings; distribute notes and action items within 24–48 hours after meetings.

  • Track action items and follow up with stakeholders between meetings to ensure progress and readiness for upcoming milestones

  • Ensure continuity across meetings and discussions by incorporating relevant updates, decisions, and stakeholder input from all grant-related activities, not limited to standing meetings

Document Management & Organization

Maintains file structure, version control, and readiness of all proposal materials.

  • Coordinate the collection, organization, and integration of proposal components across contributors

  • Maintain centralized document repositories to ensure accessibility and consistency

  • Ensure version control across all proposal documents and prevent duplication or conflicting content

  • Move documents through review stages until ready for final assembly 

Quality & Accuracy of Deliverables

Ensure all grant materials and supporting documentation meet quality and completeness standards.

  • Review proposal materials for completeness, consistency, and alignment across sections

  • Identifies gaps, inconsistencies, or missing components and coordinates resolution

  • Ensures materials are organized, clearly structured, and ready for review and submission

  • Maintains high standards for accuracy across all documentation and communications

General Duties

Demonstrates knowledge of large grant development processes and institutional requirements

  • Develops collaborative relationships with PIs, grants administration, and institutional stakeholders

  • Serves as a member of the Sylvester Project Management Office (PMO)

  • Participates in cross-functional workgroups supporting grant initiatives

  • Attends relevant meetings and training sessions

  • Other duties as assigned
