The Project Management Senior Associate supports the Office of Risk Management Project Management Office (ORM PMO) by providing operational structure, documentation discipline, and execution support across multiple projects and workstreams. Working under the direction of the Project Manager, this role helps maintain organized, audit-ready project environments; keeps project tools and records current; coordinates meeting logistics and follow-through; and supports consistent application of ORM PMO standards throughout the project lifecycle.


The Project Senior Associate serves as the Project Manager’s primary operational partner. The role anticipates upcoming needs, translates meetings into documented decisions and actions, tracks commitments, and surfaces gaps or emerging concerns early. The Project Management Senior Associate does not independently own project scope, prioritization, resourcing decisions, business decisions, or delivery outcomes. This role is designed to build upon foundational project management, governance, and PMO operations experience while supporting meaningful business initiatives across the Office of Risk Management. Training, coaching, and onboarding will be provided to help associates learn ORM PMO standards, methodologies, tools, and processes.


• Build and maintain project workspaces in Microsoft Teams and SharePoint, including standard folder structures, templates, permissions support, integrated tools, and document organization.

• Create, update, publish, and archive required project artifacts and supporting documentation based on Project Manager direction and ORM PMO standards.

• Maintain project controls, including task trackers, owners, due dates, milestones, RAID logs, and reporting inputs.

• Coordinate meetings and governance activities by scheduling sessions, preparing agendas and materials, organizing logistics, and ensuring required information is available in advance.

• Capture structured meeting notes that clearly document decisions, action items, owners, due dates, risks, issues, dependencies, and required follow-up.

• Publish meeting records and update project tools and artifacts promptly following meetings, decisions, or changes.

• Track commitments to completion, follow up with assigned parties, communicate status or delays, and raise overdue or unresolved items to the Project Manager.

• Support recurring project reporting, status updates, dashboards, presentations, governance reviews, and stakeholder communications by gathering and validating project information.

• Maintain document hygiene, naming conventions, version control, accessibility, and accurate storage of drafts, approved deliverables, recordings, notes, and supporting records.

• Look ahead to upcoming milestones, meetings, deliverables, phase gates, governance needs, and deadlines to ensure preparation begins before items impact projects.

• Identify documentation gaps, inconsistencies, risks, dependencies, obstacles, and emerging concerns, and communicate them to the Project Manager with practical recommendations when appropriate.

• Support project initiation, planning, execution, and closure activities, including workspace setup, kickoff preparation, lessons learned documentation, closure materials, archival, and cancellation of recurring meetings.

• Coordinate across multiple projects, Project Managers, project teams, stakeholders, governance bodies, and workstreams while balancing changing priorities and deadlines.

• Apply lessons learned and feedback to improve individual performance, project execution, and ORM PMO tools, templates, and processes.

• Other duties as assigned related to project management, PMO operations, governance support, and reporting.


Education/Certification:

• Bachelor’s degree in business, project management, risk management, communications, information systems, or a related field, or equivalent relevant experience.


Experience:

• 1–3 years of experience in project management, project administration, operations, business support, or a related role.

• Experience supporting multiple projects, workstreams, or stakeholders in a professional services, corporate, or risk management environment is preferred.

• Experience preparing meeting materials, maintaining project records, tracking actions, and supporting status reporting is preferred.

Technical/Soft Skills:

• Strong attention to detail and commitment to producing accurate, complete, and audience-appropriate work.

• Strong written and verbal communication skills, with the ability to communicate effectively with diverse audiences.

• Effective organization, prioritization, and time-management skills, including the ability to manage multiple assignments and competing deadlines.

• Knowledge of project lifecycle practices, project controls, RAID management, governance support, document management, and version control.

• Project management or Agile coursework/certification, such as CAPM, PMP coursework, Scrum, or equivalent training, is a plus.
