What this job involves:

As Project Coordinator reporting to the Project Operations Lead, you'll provide technology and system administrative support for the regional Project Management team. This on-site role focuses on project system administration, data compliance, and documentation auditing to ensure seamless project execution through handover to the Facilities Management team. As part of JLL's integrated workplace management services, this entry-level position offers excellent exposure to project management with clear advancement opportunities within our organization.

What your day-to-day will look like:

System Administration & Data Management

  • Maintain accurate project databases and tracking systems
  • Issue child work orders and assign them to Project Managers for vendor engagement
  • Generate system exports from Corrigo WO and Azara dashboards for Regional Team Lead meetings

Reporting & Documentation

  • Produce standard reports on project status and budgets for internal project team meetings
  • Leverage transcript functions to create meeting recaps and action items for internal team meetings.
  • Audit and request required documentation from Project Managers for system upload

Compliance & Project Closeout

  • Ensure documentation compliance with system submission requirements
  • Audit project closeout requirements and verify completion for handover to the Facilities Management team
  • Compliance with processes and procedures by Project Management team.

Required qualifications:

  • 2+ years in project coordination, facilities management, administrative support, or related field
  • Strong attention to detail and ability to manage multiple tasks simultaneously with excellent organizational skills
  • Embrace continuous process improvement with adaptability and a solutions-oriented mindset
  • Excellent verbal and written communication skills with professional presentation abilities
  • Proficiency in Microsoft Office Suite including Excel, Word, PowerPoint, and Outlook with experience in project management software and database management
  • Strong interpersonal skills and client service orientation with ability to identify issues and coordinate resolution with appropriate stakeholders
  • Ability to work independently with guidance and direction from senior staff

Preferred qualifications:

  • Associate degree or relevant coursework in Business Administration, Project Management, Facilities Management, or related field
  • Experience in corporate office environments or commercial real estate
  • Knowledge of office furniture systems and space planning concepts
  • Experience with work order systems and vendor management or procurement processes
  • Knowledge of building operations and facilities management
  • Experience with change management and employee communications
