SUMMARY
We are seeking a highly organized, PMP-certified Project Coordinator to support the delivery of client-facing IT projects across our nonprofit member base. This role sits at the center of project execution, working closely with our Technical Alignment Managers (TAMs), implementation teams, and external vendors to ensure projects move forward clearly, efficiently, and with strong communication.
You will also take ownership of client onboarding as a structured project, helping new members get set up smoothly and setting the foundation for long-term success. This is a coordination-heavy role with real ownership. You are not just tracking tasks; you are driving clarity, momentum, and accountability across multiple stakeholders.
JOB RESPONSIBILITIES
  • Project Coordination & Delivery
  • Coordinate a portfolio of client-facing IT projects from kickoff through completion.
  • Partner with TAMs and technical teams to align on scope, timelines, risks, and dependencies.
  • Ensure clear communication across internal teams, clients, and external vendors.
  • Track progress, surface blockers early, and drive next steps to keep projects moving.
  • Support consistent project workflows, documentation, and communication standards.
  • Client Onboarding Management
  • Own and manage new client onboarding as a formal project.
  • Coordinate across internal teams (support, systems, TAMs) to ensure a smooth transition.
  • Set expectations with new members and guide them through onboarding steps.
  • Identify and improve onboarding workflows over time.
  • Systems & Process Improvement
  • Build, refine, and maintain project tracking systems (HaloPSA, project plans, dashboards, etc.).
  • Standardize how projects are tracked, updated, and reported across the organization.
  • Improve visibility into project status, risks, and timelines.
  • Identify inefficiencies and proactively suggest process improvements.
  • Vendor & Stakeholder Coordination
  • Coordinate with third-party vendors on project timelines, responsibilities, and deliverables.
  • Ensure accountability across all parties involved in a project.
  • Maintain clear ownership and escalation paths.

QUALIFICATIONS
  • PMP or CAPM certification.
  • 5+ years of experience in project coordination or project management.
  • Strong organizational and tracking skills across multiple concurrent projects.
  • Ability to communicate clearly with both technical and non-technical stakeholders.
  • Experience coordinating across multiple teams and external partners.
  • Strongly Preferred
  • IT experience or familiarity with IT infrastructure, systems, or managed services.
  • Experience working in a client-facing or consulting environment.
  • Experience building or improving project tracking systems and workflows.
  • Nice to Have
  • Experience working with nonprofit organizations or mission-driven teams.
  • Familiarity with tools like HaloPSA, ITGlue, or similar systems.

JOB REQUIREMENTS
  • Should be willing to accept a long-term work-from-home arrangement.
  • Should be amenable to a permanent night shift schedule.

Skills Required
