Job Summary:
Project Coordinators assist with project management duties. They oversee and perform project administrative functions including coordinating with clients and subcontractors, making appointments, ordering supplies, going on site visits, and preparing reports. Project Administrators are responsible for notifying Project Managers (PMs), Resource Managers, and Business Office of any potential problems and maintaining clear lines of communication.
Project Coordinator responsibilities include:
Administrative:
- Initiate project start-up (prepare draft project schedules, budgets, and project file creation).
- Coordinate with the PM to update and monitor project budgets as needed.
- Write and prepare Division 1 specifications within SpecsIntact, compile other divisions specifications, run error reports, and follow up on final edits to resolve errors.
- Receive, compile, and track deliverables (data manuals, specifications, reports, drawings, etc.). Follow-up with engineers for missing items.
- Prepare reports for PE signatures and send to client.
- Assist PMs with Engineering Services During Construction (ESDCs) and prepare submittals for review and signature.
- Perform project closeout functions.
Client Contact:
- Respond to email/phone communication.
- Coordinate travel/meeting dates with client.
- Request and organize project data and files.
- Track and follow-up on action items.
Project Meetings:
- Coordinate meeting dates/times with stakeholders.
- Organize venues – send out invites.
- Prepare meeting handouts/sign-in sheets.
- Take meeting minutes and send to PM and/or stakeholders.
- Follow-up on any action items from the meeting.
Project Tracking:
- Track deliverable due dates for design projects, and submittal due dates for ESDCs. Coordinate with engineers to ensure deadlines are met.
- Coordinate with PM and Business Office to set up charge codes and request staff access and/or removal.
Skills/abilities:
- Bachelor’s degree in business administration, management, or a related field –
- Project management certifications: Certified Associate in Project Management (CAPM), project management professional (PMP) or similar.
- Working knowledge of project management software.
- Proficiency with Microsoft Office
- Excellent interpersonal skills
- Excellent communication skills
- Attention to detail
Location: Merritt Island (Hybrid)
Travel: None expected
Compensation & Benefits:
The expected base salary range for this role is $40,000 - $55,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location.
