Job DescriptionDuties
- Assist the Programme Managers, and Project Engineers in the effective execution of project controls related to the initiating, planning, monitoring & controlling, internal communication required and close-out phases of all projects
- Prepare a weekly and monthly reporting, update the schedules, coordinate the progress of the project, prepare manpower histogram, create and update S-Curve, prepare time impact analysis, and cashflow under the technical guidance of Programme Coordinator and Programme Planner
- Assist the Programme Managers, and Project Engineers in financial forecasting and coordinate the discrepancies or inconsistencies that could affect the accuracy of forecasting
- Support the PMO in the effective execution of project controls related to the initiating, planning, monitoring & controlling, internal communication required, and close-out phases of projects
- Ensure project health check issues are highlighted quickly and effectively and feedback issues, risks and benefits.
- Prepare the documentation reflecting the issues, risks and opportunities under the technical guidance of Programme Coordinator and Programme Planner
- Responsible for the completion of timely, accurate and standardised project reporting across their assigned projects at all levels
- Assisting the Programme Planner by ensuring the Com Sheets of the assigned projects are updated as per the given requirements and reports any anomalies that will have an impact in the internal reporting.
Administrative:
- Maintain a document management and version control system, established in accordance with company standard approach for recording and tracking of all documents for the project team.
- Attends all key project working meetings (daily coordination meetings), prepares and timely circulates meeting minutes as per arrangements with the PM
- Organise and coordinate the execution of internal programme audits and support follow-up activities.
- Assembles all project related documentation and structures them for archiving and for uploading onto share point through the PMO
- Ensures lessons learned are continuously and timely captured by projects and programs and shared among the teams for improvement
Commercial:
- Support the Programme Planner to prepare weekly financial revenue, billing and cashflow reports in line with project reporting for market reviews
- Supports the Programme Managers and Project Engineers in compiling all the supporting documents and reports for the revenue recognition
- Prepare payment application as per the progress of the project as per arrangement with the PM and PMO Manager. Maintain a log or tracker for monitoring
- Prepare Purchase Request (PR) in SAP as per the request of PM and PMO Manager

Knowledge:
- Project Management Training (i.e. process, method, approach, technique)
- Document Management System (DMS)
- Basic Training in cost management, data management and reporting methodologies and techniques.
- Basic understanding of planning methodologies and techniques and all other aspects of project controls such as EVM, Time Impact Analysis, etc.
- Document Management System
- Degree qualified. (BS Industrial Engineering or equivalent Engineering)
- BS IT, BS Computer Science or equivalent 4 years course
- A minimum of 4 years of related project experience in a role within a service organisation. Middle East regional experience is a plus
- A minimum of one (1) year experience in preparing and updating schedule using Project Management software (Primavera 6)
- Basic financial and problem-solving skills including conducting variance analysis
- Awareness of critical path analysis, reporting, risk management tracking and the completion of corrective action plans.
- Advanced MS Office applications (Excel, Words and Powerpoint) is a must and experience in using SAP software is advantageous
- Document Software Experience (e.g. ACONEX, PMWeb, and etc.)
- Good verbal and written communication and people management skills.
- Flexible and adaptable to changing priorities.
