The Role

POSITION SUMMARY:

Within the Hematology and Oncology Department at Boston Medical Center, the Patient Coordinator/Data Manager works closely with a multi-disciplinary team to provide complex administrative support, coordination of treatment, and data organization for the Stem Cell Transplant, Cellular Therapy, and Gene Therapy Programs.

Hybrid: 2-3 days onsite

ESSENTIAL RESPONSIBILITIES / DUTIES:

Patient Coordination:

  • Maintains full ownership of the program’s patient list and master calendar.
  • Facilitates weekly program meetings.
  • Coordinates pre-treatment requirements (i.e., scheduling pre-testing, obtaining prior authorization, securing house and transportation, and completing FMLA paperwork) with the patient, caregiver(s), and clinical team.
  • Schedules the patient’s full treatment, which includes communicating with internal and external parties, and preparing individual treatment calendars. Works closely with contracted manufacturers to schedule product pick-up and drop-off.
  • Completes pre- and post-treatment reports (i.e., eligibility checklists, program admission summaries, program discharge summaries).
  • Maintains organization of patient-specific shadow charts.
  • Serves as a liaison between the patient and the clinical team.

Data Management:

  • Facilitates monthly data review meetings.
  • Serves as a Data Manager for the Center for International Blood and Marrow Transplant Research (CIBMTR).
    • Conducts informed consent and enrolls patients into the registry.
    • Submits pre- and post-treatment study related data.
    • Creates individualized disease trackers for all patients and maintains organization of patient-specific charts.
    • Formulates and submits annual CIBMTR reports alongside the Primary Data Manager.
    • Monitors progress of the CPI (Continuous Process Improvement) and is responsible for adequate data submission to remain in good standing.
    • Maintains competency with the CIBMTR manual, including periodic updates.
    • Takes part in routine on-site audits with CIBMTR. Monitors progress on applicable corrective action plans.
    • Maintains full ownership of the program’s database and cumulative lists.
    • Formulates data reports to use for research by clinical team.
  • Assists the Senior Program Manager with revising standard operating procedures, developing program progress reports, and monitoring the program to ensure compliance with the Foundation for the Accreditation of Cellular Therapy (FACT).
  • Assists the Clinical Quality Manager with monitoring performance measures, significant outcome parameters, and operation requirements.

  • Stem Cell Transplant, Cellular Therapy, and Gene Therapy Program Meeting – Weekly
  • Amyloidosis Center Clinical Meeting – Weekly
  • Data Review Meeting – Monthly
  • Morbidity and Mortality Quality Improvement Meeting – Monthly 

JOB REQUIREMENTS

EDUCATION:

Requires Bachelor's degree, or equivalent combination of formal education and experience.

EXPERIENCE:

Minimum 3-5 years of relevant professional experience required. Previous project coordination with data management also preferred.

KNOWLEDGE AND SKILLS:

  • Excellent verbal/written English communication skills, including excellent grammatical, editing and proofreading skills.
  • Advanced skills with Microsoft applications (Outlook, Word, Excel, PowerPoint, Access) and other web-based applications. Ability to produce complex documents, perform analysis and maintain databases.
  • Ability to work independently and exercise independent judgment.
  • Excellent interpersonal skills necessary to be socially perceptive in accepting and relaying confidential information, communicating policies and procedures, and interacting effectively with a variety of Medical Center personnel and outside personnel.
  • Strong problem solving skills.
  • Proven ability to work with confidential information.
