THE POSITION
The Administration Project Coordinator will support the Executive Director of Administration in the planning, coordination, and day-to-day management of operational activities related to the FIFA Women’s World Cup 2027.
This role is critical to ensure effective internal organization, structured follow-up of strategic priorities, and seamless coordination across functional areas under the Administration Division. The position requires strong organizational skills, attention to detail, and the ability to manage multiple workstreams in a dynamic and high-performance environment.

KEY RESPONSIBILITIES
  • Provide direct operational and administrative support to the Executive Director of Administration.
  • Manage and coordinate the Director’s agenda, including scheduling meetings and prioritizing commitments.
  • Prepare meeting materials, including agendas, presentations, and briefing documents.
  • Draft and distribute meeting minutes, ensuring accurate documentation of decisions, action items, and next steps.
  • Track follow-up actions and ensure timely progress with functional area leaders.
  • Monitor ongoing projects and support coordination across areas under the Administration Division.
  • Facilitate communication and alignment between departments to ensure operational efficiency.
  • Support the development of reports, dashboards, and internal documentation.
  • Assist in organizing workshops, coordinating meetings, and planning sessions.
  • Ensure proper document management and information flow within the Administration Division.

  • Proven project management skills, with experience coordinating multi-stakeholder initiatives.
  • Planning and Resource Management: Skilled in developing detailed, chronological plans, setting priorities, and allocating resources effectively. Implement systems for tracking progress and control, and adapt plans as needed to achieve objectives. Maintains a strong focus on reporting and accountability.
  • Strong organizational skills and ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills in English (additional languages are a plus).
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), understanding of Power BI would be appreciated.
  • Ability to work in a fast-paced, international environment with high levels of responsibility.
  • Proactive, detail-oriented, and solution-driven mindset.
  • Right to work in Brazil. 
  • Fluent in English (spoken and written)
  • Fluent in Portuguese (spoken and written)
  • Ability to re-locate to Rio de Janeiro.
