About the Role

Our legal team supports a fast-moving commercial organization with customer contracts, vendor agreements, approval workflows, compliance documentation, sales operations support, and legal process management.

We are looking for a highly organized, tech-forward Deal Desk, Legal Operations & AI Automation Coordinator to support our VP, Legal and help keep commercial deals and legal operations moving to support our teams and business. This is an operations heavy role, not a legal counsel role. The right person is detail oriented, reliable, process minded, and excited to use AI tools to make repetitive work faster, cleaner, and more scalable.

This role is ideal for someone who likes structured workflows, clean trackers, organized contract records, accurate deal paperwork, and practical automation. You should be comfortable doing detailed administrative work, following process, collecting approvals, and using AI to reduce manual effort. 

What you will do
  • Own contract intake, routing, approval tracking, execution, filing, and follow-up.
  • Review order forms, MSAs, DPAs, NDAs, vendor agreements, and related documents for completeness, accuracy, formatting, missing fields, inconsistent terms, signature readiness, and required approvals.
  • Coordinate with Sales, Finance, RevOps, Security, Privacy, and business owners to collect approvals and resolve open items.
  • Track deal status, blockers, contract versions, key dates, renewal dates, signature status, and follow-up items.
  • Maintain accurate records in Duda’s contract repository, CRM, shared drives, e-signature tools, and related systems.
  • Prepare first-pass contract packets for legal review, including a short summary of requested changes, commercial context, open approvals, missing information, and known deviations.
  • Use AI tools to summarize agreements, compare versions, extract key terms, draft internal status updates, create checklists, organize contract data, and identify process gaps.
  • Help build lightweight AI-assisted workflows for legal intake, approval tracking, contract summaries, renewal tracking, playbook use, and recurring legal operations tasks.
  • Create and maintain templates, playbooks, approval matrices, clause libraries, trackers, SOPs, and process documentation.
  • Support sales operations tasks tied to quote/order accuracy, customer contracting workflows, reseller/agency documentation, and internal handoffs.
  • Send polished, professional follow-ups to internal teams and counterparties.
  • Identify repetitive manual work and propose practical ways to automate or improve it using AI, workflow tools, templates, or better process design.
AI and technology expectations

You do not need to be an engineer. You do need to be curious, resourceful, and comfortable learning tools quickly.

You should be able to:

  • Use AI tools thoughtfully for drafting, summarizing, organizing, and quality-checking work.
  • Understand when AI output needs human review, verification, or escalation.
  • Create prompts, checklists, templates, and repeatable workflows that improve consistency.
  • Use AI to help manage high-volume, detail-heavy work without sacrificing accuracy.
  • Look for ways to reduce manual copy/paste work, missed follow-ups, and inconsistent process execution.
  • Be comfortable working across tools such as Google Workspace, Microsoft Office, Slack, Salesforce, DocuSign or similar e-signature tools, CLM systems, ticketing tools, AI assistants, and workflow automation platforms.
Required qualifications
  • 2+ years of experience in deal desk, sales operations, revenue operations, legal operations, contract administration, paralegal support, executive operations, business operations, or a similar process-heavy role.
  • Strong attention to detail and comfort with repetitive, process-driven work.
  • Excellent organization, follow-through, and written communication.
  • Demonstrated comfort using AI tools, automation tools, or modern productivity tools to improve day-to-day work.
  • Comfortable chasing approvals, reminding stakeholders, and escalating blockers.
  • Experience working with contracts, order forms, vendor agreements, sales documentation, approval workflows, or business process documentation.
  • Proficiency with Google Workspace or Microsoft Office.
  • Ability to work independently in a remote environment with a set, reliable weekly schedule.

Location & Work Model
Candidates must reside in Florianópolis to align with our team collaboration needs and occasional in-person meetings.
