The Importance of this Role
We are looking for a driven, detail-oriented, and people-first specialist to join our People Operations team in Ukraine and play a key cross-functional role across both the US and UA markets. This high-visibility role touches nearly every part of the company, from workspace coordination to onboarding, cross-team engagement, hiring support, and US-specific operations. You’ll also partner closely with Talent Acquisition (TA), provide onboarding and offboarding support (including for offshore hires), and ensure a smooth, compliant, and culture-rich employee experience.
Your Responsibilities:
People Operations/Human Resources Support (UA & US)
- Own and manage new hire onboarding and employee terminations/offboarding across multiple locations (US, UA, Offshore)
- Improve and maintain key people processes such as internal communications, documentation, and TA coordination
- Own preparation and coordination of monthly All-Company meetings
- Keep processes clear, documented, and easy for others to follow
US & Offshore Hiring Support
- Support US hiring managers and contractors with onboarding logistics, systems access, and documentation
- Be the point of contact for our offshore onboarding processes
- Coordinate with Talent Acquisition on scheduling, candidate workflows, and hiring data
Workspace Operations & Vendor Coordination
- Oversee smooth daily operations of the Lviv office, supporting a functional and reliable work environment
- Coordinate with service providers and manage related timelines and payments
- Handle supply tracking, minor logistics, and ensure the workspace supports the team’s needs without friction
Cross-Team Engagement & Internal Initiatives:
- Coordinate cross-regional team engagement activities to strengthen communication, belonging, and collaboration
- Support internal recognition efforts and moments that matter (e.g. anniversaries, remote team experiences, global meetups)
- Contribute to maintaining an inclusive and connected team culture across time zones and functions
Finance & Legal Coordination:
- Track team-related expenses, prepare budget reports, and support office and operations spending documentation
- Work closely with accountants to prepare and submit documents according to Ukrainian law
- Maintain internal documentation and deadlines related to DIIA City compliance and the employee deferral program
What We’re Looking For:
- 2+ years in HR, TA, office coordination, or similar roles in dynamic teams
- Comfortable collaborating with US-based colleagues and working across time zones
- Confident English (B2/Upper-Intermediate+)
- Experience managing employee onboarding/offboarding processes
- Skilled in vendor coordination, task tracking, and staying organized
- Experience supporting engagement for distributed or remote teams
- Detail-oriented and process-minded - you enjoy structure and clear systems
- Proactive and self-managed, but collaborative and open to feedback
- Great at organizing, prioritizing, and working with different teams
- Able to manage many requests at once and still deliver high-quality, timely results
- Confident with tools like Google Sheets, Confluence, Slack, Canva, Figma, and Jira (or open to learning quickly)
