Key Responsibilities
- Maintain and monitor contracts with counterparties, coordinating directly with the project coordinators running Foundation initiatives.
- Build and run the internal archive (electronic and physical); maintain the register of contracts and other Foundation records.
- Enforce contract terms — deadlines, amounts, reporting, and acts. Verify that reporting, acts, and the full document set are present (wet-signed originals for both local and international contracts).
- Collect signed source documents and hand them to accounting.
- Support reporting cycles and external audits on request.
- Run fixed-asset inventory.
- Prepare the complete document package required for counterparty payments.
- Run the end-to-end counterparty workflow, including contract execution.
- Handle inbound and outbound correspondence, documents, and equipment: receipt, registration, routing to the addressee, recording, storage, and dispatch.
- Manage administrative processes (office-supply requests and similar), data governance, and optimization of existing processes; set up and structure workflows methodically.
- Support event organization and coordinate participants.
- Work alongside project coordinators, consultants, and legal and financial specialists.
- Build out the inVision U structure and systematize all key processes — establish effective cross-unit coordination, optimize operational and academic processes, and implement a durable management system.
- Other duties as assigned by management.
Skills, Knowledge and Expertise
- Higher education.
- 1–3 years of experience in document/contract administration and business operation processes.
- Languages: Kazakh B2, English B2.
- Accountability, adaptability, attention to detail.
