About the Role

Prophecy is looking for an Operations Manager to be the key contributor to the company's operational success. This is an exciting, hybrid role (2-3 days in the San Mateo office) that sits at the intersection of human resources, executive administration, and broader operations. You'll be an important partner to leadership and the wider team, keeping the day-to-day running smoothly while also shaping the employee experience, from onboarding to events and everything in between.

Key Responsibilities

  • Managing complex scheduling and calendar coordination for executives
  • Leading new hire onboarding, ensuring a smooth and well-organized start for every employee
  • Preparing and submitting payroll inputs, coordinating with finance/payroll to ensure accuracy and timeliness
  • Planning and executing culture-building events and initiatives that strengthen team engagement and morale
  • Supporting the performance review cycle, including scheduling, tracking, and coordinating documentation
  • Supporting employee benefits programs, serving as a point of contact for employee questions and enrollment resolving conflicts across multiple stakeholders
  • Managing executive email correspondence, ensuring timely responses and follow-through on key items
  • Arranging travel logistics, including flights, accommodations, and itineraries
  • Planning and coordinating internal and external meetings, offsites, and company events
  • Managing offboarding processes, including exit logistics, and documentation

Qualifications & Skills

  • 5+ years of experience in an operations or human resources role
  • Bachelors Degree in business administration or related field
  • Strong organizational skills with the ability to juggle multiple priorities and deadlines
  • Knowledge of automation tools and LLM’s such as claude, chatGPT, Gemini, etc. 
  • Sound judgment and discretion when handling confidential and sensitive information
  • Comfort working with calendar, email, HRIS, and payroll tools, and quick to pick up new systems
  • A proactive, resourceful, and detail-oriented approach to problem-solving
  • Ability to work a hybrid schedule, splitting time between in-office and remote work
