The Business & Family Associate plays a vital role in supporting business excellence and strategic initiatives across the organization. Working closely with the CEO office team, this position ensures that operation systems, business processes, projects, and internal controls are executed with efficiency, precision, and purpose. Key Responsibilities:
Operations & Logistics
- Support daily store and business operations, including supply ordering, vendor management, budgeting, and inventory logistics.
- Manage product lifecycle activities such as packaging updates, product sheet development, supply procurement, and cost analysis to ensure operational efficiency and fiscal discipline.
- Assist in monitor performance through operational reports and dashboards, identifying process gaps and recommending practical, data-driven improvements.
- Maintain operational systems (e.g., Monday.com boards, inventory databases), ensuring accurate and timely updates.
- Collaborate with suppliers and cross-functional teams to maintain product quality, achieve timely delivery, and optimize sourcing strategies.
Compliance & Internal Controls
- Maintain accurate, up-to-date records of business licenses, permits, and certifications across multiple jurisdictions.
- Ensure adherence to company policies, industry regulations, and government requirements.
- Support the implementation of internal control systems that promote transparency, accountability, and readiness for audits.
- Assist in organizing and maintaining legal, compliance, and financial documentation for executive review and governance purposes.
- Project manage the completion and update of company policies and standard operating procedures.
Business Projects & Strategic Initiatives
- Assist in planning and executing strategic business projects under the direction of the CEO office.
- Conduct research, data analysis, and cost-benefit evaluations to support executive decision-making and business case development.
- Collaborate with key departments—Finance, Marketing, and Operations—to align priorities and track project outcomes.
- Assist in preparation of reports, presentations, and executive summaries that clearly communicate progress and insights to stakeholders.
Executive Support & Cross-Departmental Coordination
- Assist in managing the CEO’s business schedule and coordinating executive priorities.
- Support administrative and operational initiatives to enhance workflow efficiency and team collaboration.
- Provide backup support to family office or administrative functions as needed, always maintaining confidentiality and professionalism.
- Support family-related projects as needed and assume the responsibilities of the Family Assistant when coverage is required due to absence.
Requirements
Qualifications & Skills:
- Education: Bachelor’s degree in Business Administration, Finance, or related field required; MBA or advanced business qualification strongly preferred.
- Experience: Minimum of 7 years in business operations, project coordination, or management consulting, with proven exposure to executive-level decision-making.
- Technical Skills: Proficiency in Microsoft Office Suite, project management tools (e.g., Monday.com), and modern productivity software.
- Business Skills: Strong analytical, financial, and process management capabilities with a record of improving efficiency and optimizing costs.
- Soft Skills: Exceptional attention to detail, communication, and problem-solving abilities; highly organized with the capacity to manage multiple priorities with discretion.
- Other: Working knowledge of compliance, licensing, and internal control frameworks is a plus
